Our client based in Salalah is looking to hire an Executive assistant for their company. To provide strategic executive and operational support to the COO by coordinating cross-functional activities, monitoring operational and project execution, managing management communications, and ensuring timely follow-up on critical business initiatives. The role requires strong coordination, reporting, analytical, and stakeholder management capabilities within the environment.
Responsibilities

Manage COO calendar, meetings, appointments, and travel schedules

Prepare Minutes of Meeting (MOM), presentations, business reports, and management summaries

Coordinate with internal departments for operational updates and action tracking

Maintain confidential records, management correspondence, and official documents

Ensure timely follow-up and closure of management action items

Support COO in day-to-day operational coordination and business communication
-
Support COO in monitoring manufacturing operations and project activities
-
Coordinate with cross-functional teams for project execution and operational alignment
-
Track operational milestones, project deliverables, and implementation timelines
-
Assist in preparing operational dashboards, MIS reports, and performance summaries
-
Coordinate with vendors, consultants, and external stakeholders as required

Support implementation of operational improvement initiatives and management directives

Ensure timely escalation of critical operational issues to management

Maintain project trackers and management reporting systems

Monitor closure status of pending action items

Ensure timely submission of operational and management reports

Support compliance and documentation requirements related to COO Office activities
Qualifications

Bachelor’s Degree in Mechanical Engineering or Chemical Engineering (B.E./B.Tech)

3 to 6 years of relevant experience in executive coordination, operations support, project coordination, or management support roles

Mandatory experience in Oman manufacturing industry
-
GCC manufacturing experience will be considered as secondary preference

Experience in engineering, industrial, or manufacturing operational environment is preferred

Exposure to project coordination, operational reporting, and management support functions is an added advantage
