The Role
We are looking for a sharp, organized, and personable Executive Assistant to support our managing partners and keep day-to-day operations running smoothly. This is a role for someone who genuinely enjoys being the person who makes things happen behind the scenes — someone who takes ownership, communicates proactively, and brings a no task too small attitude to everything they do. You’ll work directly with them and touch nearly every area of the business, from scheduling and communications to client coordination and special projects.
What You’ll Do
– Provide day-to-day administrative support to the managing partners
– Manage calendars, coordinate meetings, and handle scheduling and follow-ups with professionalism and care
– Identify opportunities to improve office workflows and proactively address day-to-day needs
– Coordinate directly with the team on client-related matters, including follow-ups, document requests, and time-sensitive communications
– Prepare and compile materials for client meetings, financial reviews, and ad hoc requests as directed
– Maintain organized digital filing systems and manage records
– Track deadlines and action items across multiple projects and ensure nothing falls through the cracks
– Support special projects and step in wherever the team needs you as the business continues to grow
– Manage all office supply and inventory needs
– Maintain a well-organized, clean, and professional office environment
– Assist with technology setup and troubleshooting as needed
– Prepare the conference room for in-office meetings, ensuring the space is always client ready
– Attend weekly operations and internal objectives meetings; take detailed notes
– Greet office visitors and ensure they are comfortable and set up for meetings
What We’re Looking For
– Previous experience in an administrative or office support role
– Familiarity with financial services a plus
– Highly organized with sharp attention to detail and strong follow-through
– Strong written and verbal communication skills — professional, clear, and warm
– Proficiency in Microsoft Outlook (calendar management and email)
– Proactive and resourceful — you anticipate needs and solve problems before they become issues
– Reliable and consistent — someone the team can count on, every day
– Ability to handle sensitive client information with discretion
– Positive, collaborative mindset with a genuine interest in being part of a growing team
