Job Summary
We are seeking a dynamic and highly organized Executive Assistant to support our leadership team and ensure smooth daily operations across the office. This role is vital in managing schedules, coordinating communications, and handling administrative tasks with precision and professionalism. Duties

  • Manage complex calendars, schedule meetings, and coordinate appointments to optimize time management for executives
  • Handle incoming calls using multi-line phone systems with professionalism and excellent phone etiquette
  • Prepare, proofread, and distribute correspondence, reports, and presentations using Microsoft Office and Google Workspace tools
  • Assist with office management tasks including filing, data entry, bookkeeping, and maintaining office supplies inventory
  • Serve as a front desk receptionist, greeting visitors and directing them appropriately while maintaining a welcoming environment
  • Support personal assistant responsibilities such as travel arrangements, event planning, and confidential document handling
  • Provide exceptional customer service by responding promptly to inquiries via phone or email and supporting client or vendor relationships

Qualifications

  • Proven experience as an executive assistant or in an administrative support role with office management responsibilities
  • Strong computer literacy including proficiency in Microsoft Office Suite (Word, Excel, PowerPoint), Google Workspace, QuickBooks, and data entry skills
  • Excellent organizational skills with the ability to prioritize tasks effectively and manage time efficiently
  • Bilingual abilities are highly desirable to assist diverse clientele and team members
  • Experience with clerical duties such as proofreading, filing, calendar management, and record keeping
  • Knowledge of medical or dental receptionist procedures is a plus but not required
  • Demonstrated customer service excellence coupled with professional phone etiquette and strong interpersonal skills
