Executive Assistant

Purpose

Divergent is seeking a highly proactive Senior Executive Assistant to provide comprehensive executive support to senior leaders. This role serves as a trusted partner, enabling executives to operate effectively through exceptional calendar management, communications support, meeting coordination, and cross-functional collaboration.

The Senior Executive Assistant independently manages complex administrative operations, anticipates business needs, and ensures organizational priorities are executed efficiently. The ideal candidate demonstrates strong judgment, professionalism, discretion, and the ability to thrive in a fast-paced, highly dynamic environment.

The Role

Executive Support & Partnership

  • Provide day-to-day support for senior leaders by proactively managing priorities, schedules, and administrative activities.
  • Anticipate executive needs and identify solutions to scheduling, communication, and operational challenges.
  • Support executive planning activities and help maintain effective operating rhythms.

Executive Operations Management

  • Manage complex calendars, meetings, and scheduling across multiple stakeholders and time zones.
  • Coordinate domestic and international travel arrangements, logistics, and itineraries.
  • Prepare executive briefing materials, presentations, agendas, and supporting documentation.
  • Manage expense reporting and other administrative processes as required.

Cross-Functional Coordination

  • Coordinate leadership meetings, business reviews, and recurring operating cadences.
  • Track action items and follow up with stakeholders to ensure timely completion of commitments.
  • Facilitate communication between executives and internal teams.

Project Coordination

  • Support special projects and initiatives on behalf of executive leadership.
  • Assist with planning leadership offsites, team events, and executive meetings.
  • Contribute to improvements in administrative processes and support systems.

Confidentiality & Judgment

  • Handle sensitive and confidential information with professionalism and discretion.
  • Exercise sound judgment when prioritizing requests and managing executive activities.

Continuous Improvement

  • Identify opportunities to improve administrative processes and executive workflows.
  • Recommend and implement efficiencies that enhance team effectiveness.

Basic Qualifications

  • 5+ years of executive support experience supporting senior leaders in a fast-paced environment.
  • Demonstrated experience managing complex calendars, travel, communications, and executive operations.
  • Strong organizational skills with the ability to manage competing priorities independently.
  • Professional experience using Claude Code, Claude Cowork, and Gemini image creation tools within a business environment.
  • Demonstrated ability to leverage generative AI tools to improve productivity, create executive-ready content, streamline workflows, and support business operations.
  • Excellent written and verbal communication skills.
  • Proficiency with Microsoft Office, Google Workspace, and executive productivity tools.

Preferred Qualifications

  • Experience supporting VP-level or executive leadership teams.
  • Experience coordinating leadership meetings and company operating cadences.
  • Experience supporting cross-functional projects and process improvements.
  • Ability to build strong working relationships across all levels of an organization.

Compensation

At Divergent, our pay range is based on the level of the job. For this role, we will consider candidates at levels S05 - S06 as evaluated through our interview process.

  • Senior / S05: $89,970 - $123,710
  • Lead / S06: $103,900 - $142,860
