We are seeking a dynamic and highly organized Executive Assistant to join our team! Duties

  • Manage complex calendars, schedule appointments, and coordinate meetings for executives with precision and attention to detail
  • Handle incoming calls using multi-line phone systems, practicing professional phone etiquette and providing exceptional customer support
  • Prepare, proofread, and organize correspondence, reports, and presentations using Microsoft Office and Google Workspace tools
  • Assist with data entry, filing, and maintaining accurate records to ensure seamless office operations
  • Support bookkeeping activities including invoicing and basic QuickBooks entries to assist with financial management
  • Greet visitors at the front desk warmly while managing front desk operations efficiently
  • Coordinate travel arrangements, including booking accommodations and transportation, while managing time-sensitive schedules

Skills

  • Strong proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and Google Workspace applications
  • Excellent organizational skills with the ability to prioritize tasks effectively in a busy environment
  • Demonstrated experience in office management, clerical duties, and administrative support roles
  • Bilingual abilities are highly valued for effective communication with diverse clients and team members
  • Proven experience in customer service and customer support roles with excellent phone etiquette
  • Familiarity with office equipment such as multi-line phone systems, fax machines, and printers
  • Strong typing skills along with high computer literacy for efficient data entry and document proofreading
  • Knowledge of medical or dental receptionist procedures is a plus but not required; experience as a personal assistant is advantageous
  • Ability to handle confidential information discreetly while maintaining professionalism at all times
