Executive Assistant

Overview
We are seeking a dynamic and highly organized Executive Assistant to join our team and support our leadership with efficiency and professionalism. This vital role involves managing complex schedules, coordinating communications, handling administrative tasks, and ensuring smooth daily operations. Responsibilities

  • Manage executive calendars, schedule meetings, appointments, and travel arrangements with precision and attention to detail
  • Handle incoming calls using multi-line phone systems, directing inquiries appropriately while maintaining excellent phone etiquette
  • Prepare, proofread, and organize correspondence, reports, presentations, and other documents using Microsoft Office and Google Workspace tools
  • Coordinate office operations including filing, data entry, record keeping, and maintaining organized digital and physical files
  • Provide exceptional customer service by supporting internal teams and external clients or partners with professionalism and responsiveness
  • Assist with bookkeeping tasks using QuickBooks or similar accounting software to ensure accurate financial recordkeeping
  • Support personal assistant duties such as managing personal appointments or errands for executives when needed

Requirements

  • Proven experience in office management, administrative support, or as an executive assistant with a strong background in clerical tasks
  • Excellent computer literacy with proficiency in Microsoft Office Suite (Word, Excel, PowerPoint), Google Workspace (Docs, Sheets), and data entry skills
  • Strong organizational skills with the ability to prioritize tasks efficiently in a fast-paced environment
  • Bilingual abilities are highly desirable to facilitate communication across diverse teams and clients
  • Experience with front desk responsibilities or medical/dental receptionist roles is a plus for handling multi-faceted front office duties
  • Demonstrated time management skills with the ability to handle multiple projects simultaneously while maintaining accuracy
  • Exceptional phone etiquette skills combined with experience managing multi-line phone systems for professional communication
  • Personal assistant experience or familiarity with calendar management tools is advantageous for supporting executive schedules effectively

Pay: $300.00 - $600.00 per week
