Executive Assistant

Job Overview
We are seeking a dynamic and highly organized Executive Assistant/ Medical Admin to provide comprehensive administrative support to senior leadership and ensure the smooth operation of our office environment. This role is vital in managing daily schedules, coordinating communications, and handling a variety of clerical and organizational tasks with professionalism and efficiency. The ideal candidate will demonstrate exceptional office management skills, strong computer literacy, and excellent customer service abilities, all while maintaining a positive and proactive attitude. Bilingual proficiency is a plus, enabling effective communication across diverse teams and clients.

Duties

  • Manage complex calendars, schedule appointments, and coordinate meetings for executives with precision and attention to detail
  • Handle incoming calls using multi-line phone systems, directing inquiries with professionalism and courtesy
  • Provide front desk support, greeting visitors and ensuring a welcoming environment
  • Prepare, proofread, and distribute correspondence, reports, and presentations using Microsoft Office and Google Workspace tools
  • Maintain organized filing systems, data entry records, and manage confidential information securely
  • Assist with Insurance Authorizations
  • Support office management functions including supply inventory, equipment maintenance, and general administrative tasks such as photocopying, faxing, and mailing

Qualifications

  • Proven experience as an executive assistant or in a similar administrative role with medical office experience
  • Strong computer skills including proficiency in Microsoft Office Suite (Word, Excel, PowerPoint), Google Workspace (Gmail, Calendar), and data entry software
  • Excellent organizational skills with the ability to prioritize tasks effectively in a fast-paced environment
  • Exceptional typing speed and accuracy along with proofreading skills to ensure error-free documents
  • Demonstrated customer service experience with professional phone etiquette and interpersonal communication skills
  • Bilingual abilities are highly desirable to facilitate communication across diverse teams and clients
  • Knowledge of clerical procedures such as filing, record keeping, calendar management, and appointment scheduling
