About ECS
The mission of the Environmental Charter Schools (ECS) is to reimagine public education in low-income communities of color to prepare conscious, critical thinkers who are equipped to graduate from college and create a more equitable and sustainable world. Environmental Charter Schools (ECS) is a non-profit charter management organization with four free public schools in South Los Angeles.
Since its inception in 2001, ECS has provided a unique learning experience that utilizes project-based, interdisciplinary curricula to inspire our students to find authentic meaning in their studies. ECS proudly serves over 1,500 students at two middle schools (Gardena and Inglewood) and at two high schools (Lawndale and Gardena) and has been recognized for its ability to close achievement gaps for low-income Black/African American and Latino students. ECHS Lawndale ranks in the top 2% of public high schools in U.S. News & World Report, 100% of students graduate high school with the coursework necessary for admission to a four-year college or university, and 97% of students are admitted into a four-year college. Most of our students will be the first in their family to graduate from college.
The Opportunity
Environmental Charter Schools is seeking a highly organized, proactive, and mission-aligned Executive Assistant to support the Superintendent in managing the daily operations of the Office of the Superintendent. This role is essential to ensuring the Superintendent operates at full effectiveness keeping communications flowing, priorities clear, and organizational systems running smoothly. The ideal candidate is an ECS alumnus/a who understands our community deeply, communicates with warmth and professionalism, and brings a creative, tech-forward mindset to every task.
Responsibilities
Executive Organization & Systems (35%)
- Design and maintain systems that maximize the Superintendent’s efficiency, including daily inbox management, calendar maintenance, meeting preparation, and task tracking.
- Execute consistent daily organizational routines: clearing and triaging the Superintendent’s inbox, scheduling and updating the calendar to reflect priorities, and anticipating scheduling conflicts or gaps.
- Manage the Superintendent’s calendar end-to-end, including scheduling with community partners, board members, cabinet leaders, and external stakeholders; send timely reminders and briefing materials to all parties ahead of upcoming meetings.
- Maintain organized electronic and physical filing systems for confidential and non-confidential documents.
- Coordinate travel, logistics, and expense reconciliation for the Superintendent.
- Track and manage ongoing projects, deadlines, and commitments on behalf of the Superintendent.
- Build and document workflows and procedures to support continuity and efficiency across the office.
Communications & Content Creation (30%)
- Draft, edit, and distribute high-quality communications on behalf of the Superintendent, including org-wide announcements, newsletters, memos, and stakeholder correspondence.
- Conduct interviews with students and staff to capture stories, testimonials, and perspectives that elevate the ECS narrative.
- Generate compelling copy for social media posts, newsletters, and other public-facing platforms to raise ECS’s profile and visibility.
- Communicate professionally and warmly with internal staff, school sites, board members, community partners, and external stakeholders on behalf of the Superintendent.
- Support preparation of presentations, reports, and materials for Board of Directors meetings, Cabinet meetings, and other high-stakes convenings.
- Assist with the development of fundraising and donor-facing materials, including case statements, campaign collateral, gift acknowledgments, and presentations, as ECS builds toward capital campaign and endowment goals.
Meeting & Event Coordination (25%)
- Attend and take detailed, accurate notes at key meetings including Board of Directors, Finance Committee, Cabinet, and other leadership convenings; distribute summaries and action items in a timely manner.
- Prepare agendas, materials, and logistics for Cabinet meetings and All-Staff Professional Development days; coordinate follow-up and track action items to completion.
- Support the planning and execution of organizational events, including fundraising events, community outreach activities, and capital campaign or endowment-related convenings; coordinate logistics, communications, and materials from concept through follow-up.
- Coordinate with relevant staff, vendors, and partners to ensure events are well-organized, on-brand, and mission-aligned.
Data, Analysis & AI Tools (10%)
The ideal candidate uses AI tools not as an add-on but as a core part of how they manage their workload sustainably across all areas of this role.
- Use AI platforms flexibly and creatively to support writing, research, summarization, scheduling, and communication tasks.
- Analyze and visualize organizational data using AI-assisted tools to support Superintendent decision-making and reporting.
- Maintain contact lists, databases, and tracking systems; generate reports and dashboards as needed.
- Support data collection and documentation for special projects and org-wide initiatives.
Qualifications
- Bachelor’s degree preferred
- Exceptional written and verbal communication skills, including the ability to write in the Superintendent’s voice across a variety of formats and audiences
- Demonstrated proficiency with AI platforms (e.g., ChatGPT, Claude, Gemini) and comfort adopting new tools quicklyAbility to analyze and present data using tools such as Google Sheets or AI-assisted visualization platforms
- Proficiency in Google Suite
- Strong organizational skills with exceptional attention to detail and follow-through
- Excellent time management and the ability to manage competing priorities in a fast-paced environment
- High degree of discretion and confidentiality
- Strong judgment and ability to prioritize requests, flag urgent matters, and protect focus time for the Superintendent.
- Strong interpersonal skills and a collaborative, service-oriented approach
- Ability to work collaboratively with colleagues and administrators
- Passion for ECS’s mission and commitment to educational equity in communities of color
- ECS alumnus/a strongly preferred
This job primarily operates on a school site and in classrooms and utilizes typical office equipment (computers, phones, photocopiers, etc.). Physical demands include: positioning to lift (should be able to lift up to 30 pounds to waist high), carry, push, and/or pull, kneel, stoop, crouch and bend. Generally, the job is 60% Stationary and 40% moving/traversing. Travel required for visits to other local school sites or the Home Office (as needed).
