Responsibilities
- Manage and coordinate complex calendars, appointments, and meetings for executive leadership, ensuring optimal time management.
- Prepare, proofread, and distribute correspondence, reports, and presentations with attention to detail.
- Handle incoming calls using multi-line phone systems with professionalism and courtesy, directing inquiries appropriately.
- Organize travel arrangements, including booking flights, accommodations, and preparing itineraries.
- Maintain meticulous filing systems—both physical and digital—and perform data entry tasks accurately using tools like Microsoft Office and Google Workspace.
- Support office management duties such as overseeing front desk operations, managing supplies, and ensuring a welcoming environment for visitors.
- Assist with bookkeeping tasks using QuickBooks or similar software to track expenses and invoices.
- Provide personal assistant support to executives as needed, including calendar management and task prioritization.
Skills
- Proven experience in office management or administrative roles with strong clerical skills.
- Excellent computer literacy with proficiency in Microsoft Office Suite (Word, Excel, PowerPoint), Google Workspace (Gmail, Calendar), and data entry tools.
- Strong organizational skills with the ability to prioritize tasks efficiently in a busy environment.
- Exceptional phone etiquette skills; experience with multi-line phone systems is preferred.
- Bilingual abilities are a plus to effectively communicate with diverse clients and team members.
- Knowledge of office procedures such as filing, proofreading, and document formatting to ensure accuracy.
- Customer service experience to handle inquiries professionally and support internal teams effectively.
- Experience in specialized roles such as dental or medical receptionist is advantageous but not required.
- Familiarity with bookkeeping practices including invoicing and expense tracking using QuickBooks or similar platforms.
