Overview
We are seeking a dynamic and highly organized Executive Assistant to join our team and provide exceptional support to our Chief Operating Officer (COO). This role is vital in ensuring smooth daily operations, managing schedules, coordinating communications, and handling a variety of administrative tasks with professionalism and efficiency. The ideal candidate will demonstrate strong organizational skills, excellent communication abilities, and a proactive attitude to help drive our organizational success.
Responsibilities
- Manage and coordinate executive calendars, meetings, appointments, and travel arrangements.
- Prioritize competing demands and ensure executives are prepared for meetings and business activities.
- Screen and manage incoming calls, emails, and correspondence.
- Draft, edit, and proofread reports, presentations, correspondence, and other business documents.
- Prepare agendas, meeting materials, and executive briefing documents.
- Record meeting minutes and monitor follow-up action items.
- Coordinate communication between executives, project managers, clients, subcontractors, vendors, and employees.
- Assist with contract administration, document management, and executive reporting.
- Monitor key deadlines and provide proactive reminders regarding business commitments.
- Assist leadership with special projects and strategic initiatives.
- Support onboarding activities and executive-level recruiting efforts as assigned.
- Handle sensitive company, financial, personnel, and legal information with strict confidentiality.
Requirements
Required:
- Minimum of 5 years of Executive Assistant or similar experience supporting senior leadership.
- Exceptional organizational and time management skills.
- Strong verbal and written communication abilities.
- Advanced proficiency with Microsoft Office Suite.
- Ability to prioritize multiple projects and deadlines with minimal supervision.
Preferred:
- Experience in construction, subcontracting, manufacturing, or related industries.
- Experience supporting company owners, presidents, or C-suite executives.
- Associate’s or Bachelor’s degree in Business Administration or related field.
Pay: $65,000.00 - $85,000.00 per year
