Position Overview

The Executive Assistant will provide high-level administrative and operational support to the leadership team while ensuring smooth day-to-day business operations. This role requires strong organizational skills, professionalism, attention to detail, and the ability to manage multiple priorities in a fast-paced remote environment.


In addition to executive support responsibilities, the Executive Assistant will also provide limited support to veterans navigating the VA compensation claims process, including basic documentation review and communication assistance. The ideal candidate is proactive, resourceful, detail-oriented, and possesses excellent communication and time-management skills.


Key Responsibilities:

Executive & Administrative Support (90%)

  • Manage executive calendars, appointments, and scheduling.
  • Monitor, organize, and respond to emails and communications on behalf of leadership when needed.
  • Prepare reports, spreadsheets, trackers, summaries, and operational documents.
  • Coordinate meetings, reminders, agendas, and follow-ups.
  • Organize and maintain digital files, records, and confidential documents.
  • Support project management and ensure timely completion of assigned tasks.
  • Handle data entry, document uploads, and system updates accurately.
  • Communicate professionally with clients, contractors, and team members.
  • Assist leadership with operational, administrative, and miscellaneous business tasks.
  • Perform additional executive support duties as assigned.


Veteran Coaching Support (10%)

  • Assist veterans in completing questionnaires and required forms.
  • Review basic client information and mini questionnaires for completeness.
  • Coordinate medical record requests as instructed.
  • Update client statuses and maintain accurate records within the system.
  • Communicate with veterans regarding follow-ups, appointments, and required documentation.


Qualifications:

  • High school diploma or equivalent required; associate or bachelor’s degree preferred.
  • Previous experience as an Executive Assistant, Administrative Assistant or similar role preferred.
  • Strong organizational and multitasking abilities.
  • Excellent verbal and written English communication skills.
  • Strong attention to detail and problem-solving skills.
  • Proficiency with spreadsheets, email management, document organization, and online systems.
  • Ability to handle sensitive and confidential information professionally.
  • Ability to work independently with minimal supervision.


Preferred Skills

  • Experience supporting executives or leadership teams remotely.
  • Familiarity with administrative systems, scheduling tools, and project management platforms.
  • Experience in customer service, healthcare support, or veteran services is a plus.
  • Knowledge of medical records or the VA claims process is an advantage but not required.
  • Strong time-management and follow-through skills.


What’s the Offer:

Salary: $65,000–$80,000
