ABOUT THIS ROLE
This role is the heartbeat of a close-knit Trusts & Estates law firm. As Executive Assistant to our Managing Partner, you'll be the person who makes sure everything runs smoothly, so she can focus on what matters most: her clients.
You won't be answering phones in a corner. You'll be a trusted partner in the day-to-day rhythm of the firm: keeping billing accurate, meetings well-prepared, and nothing falling through the cracks. HOW YOU'LL MAKE AN IMPACT
Keeping communications flowing
- Monitor the attorney's inbox and flag messages needing a prompt reply
- Draft responses to routine correspondence for attorney review and approval
- Prepare printed materials and correspondence for client-facing matters
Keeping billing tight
- Input daily billable time into Tussman (our billing software) based on emails, meetings, and a quick end-of-day check-in with the attorney
- Prepare the monthly billing summary for our bookkeeper
Keeping every meeting well-prepared
- Review the calendar daily and build out prep materials for every meeting and call
- Create digital client files and print packets so the attorney walks into every room ready
- Confirm logistics, send reminders, and make sure nothing is missing
Keeping the office running
- Organize the attorney's desk each morning so priorities are clear at a glance
- Maintain the master to-do list and make sure delegated tasks are tracked and followed up on
- Compile weekly updates on each staff member's active matters so the attorney stays in the loop
WHAT WE'RE LOOKING FOR
- Bachelor’s degree preferred
- 2+ years of experience in a legal, professional services, or high-trust administrative role; law firm background is a plus
- Comfort with (or eagerness to learn) legal billing software; Tussman experience is a bonus
- Comfort with NetDocuments or similar legal document management system
- Someone proactive, who values accountability
- Strong written communication skills and a warm, professional, discreet manner with clients
- Proficiency in Microsoft Office (Word, Outlook, Excel) and Adobe
- A calm, steady presence; someone the attorney can genuinely rely on

- Compensation ranging from $26/hour to $28/hour, based on experience
