We are seeking an experienced, highly organized, and proactive Executive Assistant to serve as a trusted partner to the Owner and support the daily operations of our growing pharmacy. This is more than a traditional administrative role, we are looking for someone who is resourceful, takes initiative, anticipates needs, and thrives with minimal supervision.
The ideal candidate is a self-starter who enjoys creating organization, solving problems independently, and keeping business operations running efficiently. This individual will play a critical role in executive support, office administration, vendor coordination, customer communication, and operational efficiency.
Key Responsibilities
Administrative & Executive Support
· Manage and prioritize the executive's calendar, appointments, and daily schedule.
· Screen and prioritize phone calls, emails, and correspondence.
· Prepare reports, presentations, spreadsheets, and executive communications.
· Coordinate meetings, agendas, minutes, and follow-up action items.
· Handle confidential information with discretion.
· Coordinate travel arrangements and expense reporting.
Strategic Business Support
· Assist with business planning and strategic initiatives.
· Research vendors, products, and business opportunities.
· Develop reports and dashboards to support executive decision-making.
· Coordinate cross-functional projects from planning through completion.
· Track key initiatives and ensure deadlines are met.
· Identify opportunities to improve operational efficiency and implement solutions.
· Serve as an extension of the Owner by following up on priorities and driving accountability.
Office & Business Operations
· Manage day-to-day administrative operations.
· Maintain filing systems and office records.
· Order office supplies and manage vendor relationships.
· Assist with invoices, billing support, and recordkeeping.
· Coordinate meetings, events, and employee activities.
Pharmacy Administration
· Support operational initiatives and special projects.
· Coordinate communication with pharmaceutical vendors and suppliers.
· Track renewals, inspections, certifications, and compliance deadlines.
Experience & Qualifications
Required
· 5+ years of Executive Assistant, Administrative, or Office Management experience.
· Experience supporting executives or business owners.
· Excellent organizational, communication, and time-management skills.
· Ability to manage multiple priorities independently.
· Strong attention to detail and professionalism.
· Advanced proficiency in Microsoft Office (Word, Excel, Outlook, PowerPoint).
Preferred
· Healthcare, pharmacy, or medical office experience.
· Experience with QuickBooks or accounting software.
· Knowledge of healthcare administrative processes and compliance.
