Executive and Human Resources Assistant
Connecting Generations is seeking a highly organized and adaptable Executive & Human Resources Assistant to serve as the Executive Director’s right hand. This role is vital to keeping the team and organization running smoothly by managing executive-level priorities, coordinating HR processes across the organization, and assisting with data collection and analysis.
The Assistant will ensure the Executive Director is fully supported in carrying out organizational priorities by taking ownership of executive-level tasks and maintaining a high level of professionalism and reliability. Success in this role directly contributes to the success of the Executive Director and the organization as a whole.
The ideal candidate will be detail-oriented, able to balance multiple priorities, and skilled at handling sensitive information with discretion. A background in human resources is strongly preferred.
This is a part-time daytime position (up to 29 hours/week) with occasional evening or weekend hours required to support events and special projects.
Duties and Responsibilities Include:
Executive Support
- Manage the Executive Director’s calendar, including scheduling, travel logistics, and meeting coordination.
- Draft, edit, and prepare communications, reports, and presentations for internal and external stakeholders.
- Track and organize incoming internal and external requests, emails, and calls to ensure timely responses.
- Assist in planning and executing events, staff/board meetings, and fundraising activities.
- Prepare meeting agendas and minutes; monitor follow-up items.
- Provide general administrative support, including document management, filing, and office correspondence.
- Provide administrative support to the board on behalf of the Executive Director.
Human Resources Assistance
- Support recruitment processes by preparing job postings, coordinating interviews, and assisting with candidate communication.
- Assist with new hire onboarding and ensure employee records and personnel files are accurate and up to date.
- Help administer employee benefits, leave requests, and other HR-related processes.
- Maintain and update HR policies, employee handbook, and related organizational documents.
- Contribute to HR initiatives, including employee relations, training, and engagement efforts.
Data & Organizational Support
- Collect and organize survey data across programs and the organization.
- Help analyze data to identify trends, strengths, and areas for improvement.
- Prepare summaries and reports to share with the Executive Director and program leaders.
- Assist with follow-up communication and coordination based on data findings.
- Support grant compliance by ensuring accurate tracking and reporting of program information.
Operations & Office Management
- Manage with bookkeeping tasks such as invoice processing, deposits, and expense tracking.
- Manage general office needs, including supplies, equipment, and vendor coordination.
- Greet visitors, answer phones, and manage mail distribution.
- Maintain an organized and professional office environment.
Qualifications
- Minimum of three years’ experience in administrative or HR-related support required. Bachelor’s degree preferred.
- Prior HR background (recruitment, onboarding, benefits administration, policy support) strongly preferred.
- Strong organizational and project management skills.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and comfort with data collection/analysis.
- Excellent written and verbal communication skills.
- Professional discretion when handling confidential information.
- Flexible, self-motivated, and detail-oriented.
- Reliable transportation and willingness to work occasional evenings/weekends as needed.
Work Environment
- Office-based role with frequent use of computers and office equipment.
- Requires ability to sit for long periods, lift up to 20 lbs., and occasionally travel for errands or events.
- Reports directly to the Executive Director, with annual performance reviews and goal-setting.
This position is funded yearly; funding approval occurs when the fiscal year budget is approved, usually in June.
