Job Overview

The Institute of Knowledge (IOK) is seeking a highly organised, professional, and proactive Executive Assistant to provide comprehensive support to our senior leadership. As a key member of our team, you will be instrumental in ensuring the smooth and efficient operation of our executive office. The ideal candidate will be a master of multitasking, possess exceptional communication skills, and handle confidential information with the utmost discretion. This role is crucial to supporting IOK's mission to foster a finer future through high-quality Islamic educational programmes and community events.

Responsibilities

• Manage complex and dynamic calendars for senior executives, including scheduling meetings, appointments, and events.
• Prepare and edit correspondence, reports, presentations, and other documents with a high degree of accuracy.
• Coordinate domestic and international travel arrangements, including flights, accommodation, and itineraries.
• Act as the primary point of contact between executives, employees, clients, and other external partners.
• Organise and facilitate meetings, including preparing agendas, taking minutes, and following up on action items.
• Handle sensitive and confidential information with integrity and professionalism.
• Assist with special projects and initiatives as directed by the leadership team.
• Provide general administrative support, such as managing expenses and maintaining organised filing systems.

Qualifications

• Proven experience as an Executive Assistant, Personal Assistant, or in a similar administrative role.
• Exceptional organisational, planning, and time-management skills.
• Excellent written and verbal communication abilities.
• High level of proficiency in the Microsoft Office Suite (Outlook, Word, Excel, PowerPoint).
• The ability to work independently, anticipate needs, and take initiative.
• A strong sense of discretion and an understanding of the importance of confidentiality.
• A bachelor's degree in Business Administration or a related field is preferred.
• Experience within an educational or non-profit organisation would be advantageous.
