Executive Assistant and North Campus Registrar

Objective
To provide professional administrative support to the Head of School and other members of the senior leadership team. To maintain cumulative records and manage quarterly grading for students in middle and upper school.

Essential Duties and Responsibilities

Executive Assistant

  • Provide high-level administrative support to the Head of School and members of the senior leadership team, as assigned by the Head of School.
  • Organize and review daily priorities for the Head of School.
  • Schedule, maintain, and confirm the Head of School’s appointments and calendar activities.
  • Assist the Head of School with events related to the board of trustees.
  • Support the Head of School in drafting correspondence and responses when necessary.
  • Receive visitors and phone calls on behalf of the Head of School, determine priority, and summarize and/or distribute the information to the Head of School.
  • Maintain a tidy, professional administration area.
  • Make travel arrangements for the Head of School.
  • Answer the school’s central phone line and transfer calls as appropriate.
  • Perform office tasks including maintaining records and ordering office supplies.
  • Assist in planning and coordinating campus-wide events.
  • Organize and plan the annual Alpha Omega celebration.
  • Manage the North Campus emergency intercom system.
  • Oversee the North Campus shipping and receiving.
  • Oversee and manage vendor relationships and service related to copiers, postage, shredding, office supplies, and vending machines.
  • Compile information as requested, formatting reports, graphs, tables, records, and presentations.
  • Assume responsibility for other projects as assigned by the Head of School.

North Campus Registrar

  • Create, update, and secure student cumulative records.
  • Regularly prepare transcripts for upper school students and upload to the school’s SCOIR College Network.
  • Process transcript requests for current students and alumni.
  • Generate, manage and process transcripts requests.
  • Utilize the school’s student information system to manage middle and upper school grading and report cards.
  • Prepare honors lists and class rankings.
  • Request and process new and transfer student records.

This job operates in a professional school environment.

Position Type/Expected Hours of Work
This is a full-time, twelve-month position. Days and hours of work are Monday through Friday, 8:00am to 4:30pm. Occasional weekend and evening work will be required.

  • Bachelor’s degree required.
  • A minimum of one year of experience in education or as an administrative/executive assistant to a high-level school administrator or corporate executive preferred.
  • Notary public license required. School will assist in licensure, as necessary.
  • Proven success at working collaboratively and efficiently on a goal-oriented team.
  • Ability to make quick decisions, take initiative, and prioritize tasks.
  • Represent the school in the larger community in a positive manner that reflects the values of the school.
  • Exceptional interpersonal skills with the ability to build and maintain effective relationships with students, faculty, administrators, parents/guardians, alumni, and guests.
  • High degree of cultural competency and demonstrated success in working with individuals from diverse backgrounds.
  • Self-motivated with the ability to handle multiple, simultaneous, and complex projects
  • Strong organizational and time management skills.
  • Professional written and verbal communication, organizational, and interpersonal skills.
  • Proficiency in Blackbaud On Products and Google Suite preferred.
