Executive assistant assisting in office, and Field coordination.

Job Overview
We are seeking a dynamic and highly organized Executive Assistant to support our CEO & President with office operations and facilitate field coordination. This vital role involves managing administrative tasks, coordinating projects, and ensuring seamless communication between office staff and field teams. You will be traveling between Oklahoma and Kansas. The ideal candidate will bring energy, precision, and a proactive approach to streamline daily activities, enhance productivity, and support the overall success of our organization. Responsibilities

  • Provide comprehensive executive administrative support, including calendar management, scheduling meetings, and coordinating appointments using tools like Microsoft Outlook Calendar and Google Workspace.
  • Assist in office management duties such as filing, data entry, maintaining office supplies, and overseeing front desk responsibilities to ensure a welcoming environment.
  • Support field coordination efforts by organizing schedules, tracking project milestones, and communicating effectively with field teams to ensure timely execution of tasks.
  • Handle phone etiquette with professionalism across multi-line phone systems, answer inquiries promptly, and direct calls appropriately.
  • Perform clerical duties such as proofreading documents, transcribing meetings or notes, and managing correspondence via email or DocuSign for secure approvals.
  • Maintain accurate bookkeeping records using QuickBooks or similar software; assist with invoicing, expense tracking, and basic bookkeeping tasks.
  • Support event planning activities for team meetings or organizational events to foster team engagement and collaboration.

Requirements

  • Proven experience in an executive administrative or office assistant role with strong organizational skills.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint), Google Workspace tools, and familiarity with Microsoft Outlook Calendar.
  • Experience with project coordination, data entry, filing systems, and clerical support functions.
  • Excellent typing skills combined with attention to detail for proofreading and transcription tasks.
  • Knowledge of QuickBooks or similar bookkeeping software is preferred.
  • Strong communication skills with professional phone etiquette; ability to handle multi-line phone systems confidently.
  • Demonstrated ability to manage calendars efficiently and prioritize multiple tasks in a fast-paced environment.
  • Office experience including front desk responsibilities and customer service skills are highly desirable.
  • Ability to adapt quickly to new tools such as DocuSign for document signing processes; familiarity with office management best practices is a plus. Pay: $19.00 - $28.00 per hour
