Executive Assistant / Bookkeeping Support

We are seeking a highly organized and proactive Executive Assistant / Bookkeeping Assistant to directly support an individual who owns and manages multiple growing companies. This role requires a proactive individual with strong organizational and management skills, proficiency in bookkeeping software and financial information, and the ability to handle multiple responsibilities with professionalism. The ideal candidate will possess excellent communication skills, enjoy taking initiative, be technologically savvy, and demonstrate exceptional organizational abilities to facilitate timely communication and task completion.

This position will directly support the owner to facilitate organization, prompt email communication and management, company operations, and executive support across several businesses.

The intention would be for this role to start as a part-time opportunity of approximately 20 hours per week with the possibility to grow if the right candidate was interested in that. Remote work as a hybrid setup is available with an expectation of weekly in-person meetings and routine communication.

Key Responsibilities

  • Manage and organize executive email inboxes with the expectation of inbox zero
  • Take initiative in accomplishing efficiency-related tasks and proactively add value
  • Interface with and support our bookkeeping team and provide financial reporting support
  • Prepare, send, and organize financial and company documents
  • Maintain organized digital filing systems across multiple companies
  • Coordinate and organize events, meetings, and company initiatives
  • Respond to requests for information in a professional and timely manner
  • Support executive-level decision making with accurate financial and operational information

Ideal Candidate

  • Strong bookkeeping and financial background
  • Strong proficiency with Microsoft Office (Word, Excel, PowerPoint), Google Workspace, QuickBooks, and data entry tools.
  • Highly organized with exceptional attention to detail
  • Demonstrated experience in bookkeeping or financial record keeping using QuickBooks or similar software
  • Self-starter who takes initiative and follows through consistently
  • Persistent problem solver who does not wait to be told what to do
  • Eager to learn, trainable, and adaptable
  • Excellent interpersonal and communication skills
  • Comfortable managing confidential information
  • Able to juggle multiple projects and companies simultaneously
  • Tech savvy and comfortable with accounting software and financial reporting
