We’re seeking a highly skilled, proactive Executive Assistant to support Dr. Bill Dorfman and Century City Aesthetic Dentistry. If you thrive in a dynamic environment, anticipate needs before they arise, and excel at keeping complex operations running smoothly, we want to hear from you.
As an Executive Assistant, you will serve as a trusted partner, ensuring priorities are managed, communication flows seamlessly, and key initiatives stay on track. You’ll handle a wide range of responsibilities from calendar and travel management to event coordination, invoicing oversight, and executive communications.
Your work will directly support high‑visibility projects, public appearances, and organizational operations, making you an essential member of our leadership support team.
Daily Operations
- Manage and optimize executive calendars, including scheduling meetings, appointments, public appearances, and speaking engagements
- Prepare meeting materials, presentations, agendas, and follow‑up documentation
- Serve as the primary liaison between executive and internal/external stakeholders
- Handle daily administrative duties: correspondence, filing, data entry, and document management
- Coordinate complex domestic and international travel (flights, hotels, ground transport, itineraries)
- Monitor, prioritize, and respond to emails, messages, and calls on behalf of the executive
- Track deadlines, action items, and ensure timely task completion
- Support expense tracking, reimbursements, and basic budget monitoring
Cross-Functional & Special Projects
- Participate in relevant Zoom calls, including all publicist‑related meetings
- Collaborate with our social media team to maximize event visibility and effectiveness
- Organize company meetings, events, and off‑site activities
- Oversee payment processing, track outstanding invoices, and coordinate with our accounting firm on approvals and reporting
- Identify and implement opportunities to enhance efficiency and improve processes
Other duties assigned as needed to support the executive and team.
Required Qualifications
- Proven experience as an Executive Assistant, Administrative Assistant, or similar support role
- Exceptional organizational and time‑management skills with the ability to juggle multiple priorities
- Excellent written and verbal communication skills
- Proficiency in Microsoft Office, Google Workspace, and calendar/scheduling tools
- Experience coordinating complex travel logistics
- Strong attention to detail and problem‑solving abilities
- Ability to work independently and anticipate executive needs
- Highly professional and dependable

Job Type: Full-time
Pay: $75,000.00 - $80,000.00 per year
