Executive Assistant / Client Service Associate

We are seeking a highly organized, proactive Executive Assistant with a strong client service mindset to support a fast-paced financial planning office. This position will assist the financial advisors in the areas of administration, client service and financial planning. The ideal candidate is detail-oriented, professional, and thrives in a fast-paced environment, with a genuine passion for delivering exceptional client service.

Primary Responsibilities

Executive Support:

  • Manage complex calendars, schedule client meetings, and coordinate daily priorities
  • Handle email management and correspondence on behalf of the advisor
  • Assist with project tracking, deadlines, and follow-ups
  • Coordinate travel arrangements and expense reporting as needed
  • Assist with special projects and firm initiatives

Client Service

  • Serve as a primary point of contact for clients, providing prompt and professional responses
  • Help deliver a high-touch, personalized service experience for every client
  • Coordinate client meetings, including confirmations, document preparation, and follow-ups
  • Support new client onboarding, ensuring a smooth and welcoming experience
  • Maintain accurate and up-to-date client records within CRM systems
  • Receive, review, and process documents returned to the office by clients, ensuring completeness and accuracy
  • Handle incoming client checks in accordance with firm procedures and compliance

Qualifications

  • Associate's degree or higher
  • Prior experience within the financial services industry or a similar role required
  • 3+ years of related experience
  • Strong computer skills and knowledge of MS office
  • Ability to manage sensitive information with discretion

Pay: $60,000.00 - $70,000.00 per year
