Executive Assistant & Customer Operations Coordinator

We are a growing roofing company seeking a highly organized, proactive professional to support the owner while coordinating customer communication, scheduling, lead follow-up, and front-office operations.

This role is ideal for someone who is strong on the phone, detail-oriented, dependable, and able to keep multiple moving parts organized in a fast-paced environment.

What You’ll Be Responsible For:

Executive Support

  • Manage the owner’s calendar, reminders, and follow-up items
  • Help prioritize tasks and keep deadlines, appointments, and action items organized
  • Assist with email organization, internal communication, and administrative support
  • Help reduce distractions and keep the owner focused on high-value priorities

Customer Communication

  • Answer inbound calls professionally and make a strong first impression
  • Respond quickly to new leads and customer inquiries
  • Follow up with homeowners who have not yet booked appointments
  • Communicate with customers regarding scheduling and updates
  • Help ensure no lead or customer falls through the cracks

Office & Operations Coordination

  • Schedule inspections, callbacks, and internal meetings
  • Keep CRM records updated with notes, tasks, and communication history
  • Organize administrative workflows and maintain accurate records
  • Support smooth handoffs between the office, sales team, and operations
  • Assist in improving systems, follow-up processes, and day-to-day organization

Qualifications:

  • Strong communication and organizational skills
  • Professional phone presence
  • Administrative or office coordination experience
  • Ability to multitask and follow through
  • Experience in construction or home services is a plus but not required

Preferred Experience:

  • Executive assistant, office manager, customer service coordinator, or administrative support experience
  • Familiarity with CRM systems
  • Experience supporting an owner or small business leadership team is highly preferred

Pay: $50,000.00 - $62,000.00 per year
