Job Overview
We are seeking an Executive Assistant for a Director of International Operations focusing on departmental follow-up acts as a central hub, ensuring that directives issued to global teams are executed and reported back accurately.
Core Responsibilities
- Cross-Departmental Follow-Up: Proactively track deliverables from various departments (e.g., Finance, HR, Supply Chain) across global regions to ensure they meet the Director's deadlines.
- Meeting Synthesis & Action Tracking: Attend virtual leadership meetings, synthesize key decisions into actionable items, and manage a central tracker to monitor their completion.
- Operational Reporting: Collate and format weekly or monthly status reports from department heads into a unified briefing for the Director.
- Communications Liaison: Serve as the first point of contact for internal department leads, filtering inquiries and providing routine updates on the Director’s priorities.
- Process Maintenance: Ensure all departments follow established Standard Operating Procedures (SOPs) and maintain a central knowledge base for the international team.
- Calendar Optimization: Synchronize the Director's schedule with departmental rhythms, ensuring availability for critical cross-functional reviews.
- Native-Level English Fluency: Exceptional command of written and spoken English is mandatory for drafting executive-level briefs and communicating clearly across diverse global departments.
Required Skills & Qualifications

- Strategic Departmental Liaison: Proven experience in driving accountability and tracking deliverables across various business units (Finance, HR, Ops) without direct authority.
- Project Management Mastery: Advanced proficiency in tools like Asana, Monday.com, or Trello to build and maintain cross-functional progress trackers.
- Remote Operational Expertise: 5+ years of experience supporting C-suite leaders in a fully remote or hybrid capacity, with a focus on asynchronous communication and time zone management.
- Data & Reporting Literacy: Ability to synthesize complex updates from different departments into concise, actionable status reports for the Director.
