The Job
The Executive Assistant & Facilities Coordinator at DIZPOT plays a pivotal role in ensuring the smooth operation of our business by organizing and coordinating the C-Suite's calendars and schedules, office and facilities-related procedures and services to ensure organizational effectiveness and efficiency. Reporting directly to the CEO, the Executive Assistant & Facilities Coordinator will be responsible for a wide range of responsibilities aimed at maintaining a productive and positive work environment.

Responsibilities
Administrative:
- Provide executive administrative services to the Executive Team – including managing calendars, arranging complex and detailed meetings, itineraries, agendas, and travel plans.
- Coordinate and manage complex meetings for internal and external stakeholders.
- Take detailed and accurate notes during meetings and disseminate them to the appropriate parties.
- Compose and prepare confidential correspondence and documents.
- Read, research, and route correspondence appropriately.
People:
- Lead weekly All Hands companywide meetings to foster communication and alignment.
- Ensure proper communication to office about projects related to their responsibilities
Facility:
- Oversee relationship and communications with landlord and vendors related to the facility
- Responsible for ensuring proper and timely facility maintenance, schedule services as required.
- Order office supplies and replenish food for the office and break room as needed.
- Assess, prioritize, and take action on needs that arise for the facility, tackling odds and ends jobs as they arise
Events:
- Arrange travel logistics and other logistical needs for events, both onsite and offsite, such as business development travel, conferences, golf tournaments, sales events, and staff appreciation events.

Skills and Qualifications
- Proven experience as an Office Manager, Executive Assistant, or relevant role.
- Ability to take a proactive approach to problem-solving with strong decision-making capabilities
- Proven ability to handle confidential information with discretion
- Ability to adapt to various competing demands, and demonstrate the highest level of customer service
- Attention to detail and problem-solving skills
- Excellent written and verbal communication skills
- Exceptional organizational and multitasking abilities.
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint).
- Excellent time management and prioritization skills.
- Experience in event planning and coordination is a plus.

Pay: $60,000.00 per year
