We are hiring an Executive Assistant (Follow-up & Reporting) to support the senior director with executive coordination, action tracking, and reporting. This is not a calendar-only role—success is measured by keeping priorities moving, closing action items, and providing clear, timely summaries for decision-making.
A meaningful part of the role focuses on HR performance monitoring through follow-up and reporting—acting as a set of “eyes and ears” for the
senior director
and leadership team, and taking an active role in new hire onboarding/placement.
Key Responsibilities

Manage and optimize the

calendar and meeting flow; prepare agendas/briefs

Capture action items, assign owners/deadlines, and follow through to closure across teams

Collect updates from senior stakeholders; produce concise
Senior Director
ready summaries

Prepare a weekly
Senior Director
Dashboard (KPIs, risks, open actions, decision points)
HR Follow-up & Performance Monitoring (via tracking & reporting)

Track the progress of performance routines (goals/OKRs, review cycles, action items) and report status to the
Senior Director
/leadership

Maintain simple HR tracking dashboards (headcount, hiring status, performance cycle progress, key risks)

Follow up with teams to ensure HR-related actions are completed and visible (no “HR management”, strong follow-up and reporting)

Actively support new hire onboarding/placement: coordination, checklists, stakeholder follow-up, early-stage progress summaries and issue escalation
Data, Systems & Documentation

Use CRM / ERP / DMS data for reporting and basic analysis; turn outputs into dashboards/summaries/presentations

Support contract/offer/NDA workflows with first-pass notes, risk flags, and revision coordination

Prepare market/competitor snapshots and 1–2 page executive summaries using internal systems + reliable external sources
What We’re Looking For

Fluent Turkish & English (C1+); strong written communication

4–7+ years of relevant experience (Executive Assistant, Business Ops, Program/Project support, HR reporting support, Consulting, Commercial Ops, etc.)

Strong follow-up mindset (“close the loop”), stakeholder communication, and discretion

Strong Excel/Google Sheets + PowerPoint; comfortable with CRM/ERP/DMS data

Mostly on-site in Çerkezköy (Tekirdağ)
(daily commuting from Istanbul is not expected)
