Job Title: Executive Assistant to a (Luxury Event Planner)

We are seeking a highly organized, proactive, and detail-oriented Executive Assistant to support a luxury event planner + Company. This role is ideal for someone who thrives in a fast-paced, environment and has a passion for delivering exceptional experiences.

Key Responsibilities:

  • Provide high-level administrative support, including calendar management, scheduling, and travel coordination
  • Assist in planning and executing luxury events, ensuring flawless attention to detail
  • Communicate with high-profile clients, vendors, and partners in a professional and discreet manner
  • Manage correspondence, contracts, and event documentation
  • Coordinate logistics, timelines, and on-site event support as needed
  • Conduct research and assist with creative planning and design elements

Requirements:

  • Minimum of 5 years of experience as an Executive Assistant, preferably in events, hospitality, or a related luxury industry
  • Design Proficiency with AI tools and platforms to streamline workflows and enhance productivity a plus
  • Strong working knowledge of Canva for presentations, proposals, and design needs
  • Exceptional organizational and multitasking skills
  • Excellent written and verbal communication skills
  • Great Customer service skills
  • Ability to maintain confidentiality and handle sensitive information with discretion
  • Flexible schedule with availability to support events as needed

Preferred Qualifications:

  • Experience working with high-net-worth clients or luxury brands
  • Strong aesthetic sense and attention to visual detail
  • Ability to anticipate needs and problem-solve quickly

Duties

  • Provide comprehensive executive administrative support to senior management, including calendar management using Microsoft Outlook Calendar and Google Workspace.
  • Coordinate and assist with event planning logistics, vendor communications, and project timelines to ensure flawless execution of luxury events.
  • Manage office operations efficiently by overseeing filing systems, and maintaining office supplies.
  • Perform data entry, bookkeeping using QuickBooks, and basic bookkeeping tasks to support financial record accuracy.
  • Prepare professional correspondence, proofread documents for accuracy, and transcribe meeting notes or speeches as needed.
  • Handle personal assistant responsibilities such as travel arrangements, personal scheduling, and confidential information management.
  • Facilitate client interactions with exceptional customer service skills

Experience

  • Proven experience as an executive assistant or in a similar administrative role within a luxury or high-end service environment.
  • Demonstrated expertise in event planning, design, project coordination, and office management.
  • Strong proficiency in Microsoft Office Suite (Word, Excel, PowerPoint), Google Workspace applications, and office technology including multi-line phone systems.
  • Excellent organizational skills with the ability to prioritize tasks efficiently in a fast-paced setting.
  • Outstanding communication skills with professional phone etiquette and customer service experience that reflects the luxury brand’s standards.
