Executive Assistant & Front Desk Coordinator (Hybrid Role)

Job Summary

Homer Senior Citizens, Inc. (HSC) is seeking a highly organized, professional, and proactive Executive Assistant & Front Desk Coordinator to support the Director of Operations and Director of Care Services while serving as a key point of contact at the front desk.

This hybrid role blends executive-level administrative support with receptionist responsibilities and requires a strong ability to manage competing priorities in a fast-paced, service-oriented environment. The ideal candidate will demonstrate exceptional attention to detail, sound judgment, and the ability to handle confidential information with discretion. This position plays a critical role in supporting both operational efficiency and quality care coordination across the organization.

***This is an in-person role, not remote/wfh work.***

Key Responsibilities

Executive & Administrative Support

  • Provide direct administrative support to the Director of Operations and Director of Care Services
  • Manage complex calendars, schedule meetings, and coordinate internal and external appointments
  • Prepare, transcribe, and distribute meeting minutes with clear documentation of action items
  • Assist with coordination of projects, reports, and departmental communications
  • Support compliance-related documentation and organization as needed

Front Desk & Communication

  • Serve as the first point of contact for visitors, families, and community members
  • Answer and route incoming calls with professionalism and strong phone etiquette
  • Provide general information and ensure a welcoming, supportive environment for all guests

Operational & Organizational Support

  • Maintain organized digital and physical filing systems for easy retrieval and compliance
  • Proofread and format documents to ensure clarity, accuracy, and professionalism
  • Assist with event planning and coordination for meetings, trainings, and community events
  • Collaborate across departments to support communication and streamline workflows

Additional Responsibilities

  • Social media support and basic content coordination
  • Data entry and administrative support within QuickBooks
  • Assist with tracking tasks, follow-ups, and departmental needs
  • Perform other duties as assigned to support organizational operations

Qualifications & Requirements

  • Proven experience in an administrative role, preferably supporting executive leadership
  • Experience in healthcare, senior services, or a nonprofit environment is a plus
  • Strong proficiency in Microsoft Office Suite and familiarity with tools such as DocuSign
  • Excellent typing skills with a high degree of accuracy
  • Exceptional organizational and time management skills with the ability to prioritize effectively
  • Strong written and verbal communication skills, including proofreading and professional correspondence
  • Ability to handle sensitive and confidential information with discretion
  • Proactive problem-solving skills and the ability to anticipate needs
  • Comfortable working in a dynamic environment that supports both operations and care services
