We are looking for a highly organized and reliable Executive Assistant & HR Operations Coordinator to support daily administrative, HR, and office management activities. This role is essential to ensuring smooth internal operations, staff support, compliance with company policies, and efficient coordination of administrative processes.

The position requires strong attention to detail, excellent organizational skills, and the ability to manage multiple responsibilities independently.

Key ResponsibilitiesAdministrative & Executive Support

  • Assist management with daily operational and administrative tasks
  • Coordinate schedules, reminders, and internal follow-ups
  • Handle documentation, records, and internal communications
  • Support management with special requests and priority tasks

HR Administration

  • Track employee attendance, lateness, punch-in/punch-out records
  • Manage leave requests, approvals, and balances
  • Coordinate staff insurance renewals and HR documentation
  • Maintain employee files and ensure records are up to date
  • Support onboarding and administrative employee processes

Office Operations

  • Monitor office supplies and ensure adequate stock levels
  • Coordinate with vendors and service providers (cleaning, maintenance, etc.)
  • Handle office-related expenses and tracking
  • Ensure the workplace environment remains organized and functional

Compliance & Organization

  • Maintain structured records of expenses and administrative documents
  • Ensure internal procedures are followed
  • Track recurring administrative deadlines
  • Assist in implementing and improving internal processes

Requirements

  • 2–5 years experience in Administration, HR Support, or Executive Assistance
  • Strong proficiency in Microsoft Office / Google Workspace
  • Experience handling HR administrative tasks is preferred
  • Fluent in English (mandatory)
  • Arabic is a strong advantage
  • Ability to work independently and manage priorities
