Position Summary
The Legal Executive Assistant provides high-level executive, legal, and operational support to the General Counsel and Executive team at Emery Oleochemicals. This role operates at the intersection of legal administration, executive coordination, and corporate office management within a fast-paced chemical manufacturing environment.
The position requires exceptional organizational skills, discretion, and the ability to anticipate executive needs while managing confidential legal and corporate information. The role supports leadership decision-making through coordination of executive communications, legal documentation, board materials, operational reporting, and corporate initiatives.
This position serves as a key liaison between executive leadership, legal counsel, manufacturing leadership, and corporate departments while ensuring efficient execution of executive priorities and compliance with corporate governance practices.
Key Responsibilities
Executive Support

Provide high-level administrative support to the General Counsel and C-Suite leadership team.

Manage complex executive calendars including meetings across departments, locations, and time zones.

Coordinate executive meetings, leadership reviews, operational cadences, and board sessions.

Prepare agendas, presentations, reports, briefing materials, and executive correspondence.

Screen and prioritize executive communications including emails, phone calls, and internal requests.

Maintain strict confidentiality while handling sensitive legal and corporate information.

Coordinate domestic and international travel arrangements, itineraries, and expense reporting for executives.

Prepare executive reports, dashboards, and presentations using Microsoft Office tools.

Track key action items from executive meetings and ensure timely follow-up with responsible leaders.
Legal Administrative Support

Provide administrative support to the corporate legal function and General Counsel.

Draft, proofread, and format legal correspondence, contracts, and corporate documents.

Maintain legal files, corporate governance records, and document management systems.

Assist with litigation support and coordination with outside counsel.

Conduct basic legal research and summarize findings for leadership review.

Support compliance with corporate governance requirements and internal legal policies.

Assist in preparation and distribution of confidential board materials and legal documentation.

Utilize legal research platforms and document management systems as needed.
Office Management

Oversee daily operations of the corporate office and administrative functions.

Coordinate office logistics including supplies, vendor management, and facility support.

Manage meeting logistics including conference rooms, catering, and executive events.

Coordinate company meetings, executive leadership sessions, and corporate functions.

Support onboarding logistics and administrative coordination for corporate staff.

Maintain organized filing systems and ensure effective document management practices.
Board & Leadership Coordination

Coordinate logistics and preparation for Board of Directors meetings and executive leadership sessions.

Prepare board packets, presentations, meeting agendas, and official minutes.

Manage secure distribution of confidential board materials using board management tools.

Coordinate executive leadership events, conferences, and trade shows.
Operational & Cross-Functional Coordination

Work closely with leadership across Operations, Engineering, Supply Chain, Finance, and HSE

teams.

Support operational reporting, KPI tracking, and leadership dashboards.

Coordinate executive communications related to organizational initiatives and company updates.

Assist with cross-functional projects, corporate initiatives, and operational reviews.

Support preparation for internal audits, regulatory reviews, and compliance activities.
Education & Experience

Associate or bachelor’s degree in business administration, Legal Studies, Communications, or related field preferred.

Minimum 5+ years of experience supporting executive leadership.

Experience as an Executive Assistant, Legal Assistant, or Corporate Office Manager required.

Experience supporting executives or corporate legal teams strongly preferred.

Prior experience in manufacturing, chemical, or industrial environments preferred.
