Our office is located in Irving, Texas (Las Colinas). This position will have the following consideration:

Hybrid: In office, currently Monday-Tuesday-Wednesday each week, with the option to work from home on Thursday and Friday.


Job Description:

The Executive Assistant provides clerical and administrative support for the Legal department.


Key Responsibilities

  • Maintains department centralized electronic and manual filing systems
  • Maintains department calendars and contact lists
  • Processes invoices for payment and maintains tracking spreadsheet
  • Orders office supplies, as needed in office
  • Processes mail for entire company, as needed in office
  • Provides backup support for the reception desk, as needed in office
  • Assists with travel arrangements and expense reimbursement, as needed
  • Assists with preparation and monitoring of department budget
  • Ongoing training to better support team members
  • Coordinates electronic signatures for execution of contracts or filings, as well as serving as notary, as needed
  • Coordinates Legal department meetings and other meetings or events, as needed
  • Maintains Contract Management system
  • Support Compliance in preparation of reports
  • Prepares audit response letters
  • Serves as back-up to Legal Assistant for various reporting matters
  • Assists with special projects, as needed
  • Prepares hard copies of fund Board materials
  • Prepares hard copies of quarterly corporate Board meeting materials
  • Assists with Board-related functions
  • Updates agreements and other documents, as needed, following Board approvals
  • Maintains and archives Board minutes


Requirements

  • Previous secretarial/clerical/administrative experience
  • Exceptional office and communication skills, professional demeanor
  • Excellent analytical, organizational and computer skills using Word, Excel and platforms for document management and file sharing with high degree of accuracy
  • Flexible, well organized, punctual, proactive and a demonstrated ability to take initiative
  • Positive attitude, enthusiasm and an eagerness to learn, perseverance, responsiveness, and discretion
  • High level of professionalism and confidentiality
  • Ability to handle multiple responsibilities concurrently and work independently to perform a variety of tasks with accuracy and attention to detail
  • Above average proof-reading skills
  • Excellent decision making and problem assessment skills
