About the Role
We are seeking a highly organized and detail‑oriented Executive Assistant / Legal Assistant with strong experience in private wealth, fund structuring, and corporate regulatory compliance. The ideal candidate will have a minimum of 6 years of legal experience, with hands‑on exposure to fund setup, corporate structuring, and the full suite of UAE regulatory requirements.
This role supports senior leadership and the legal function by managing documentation, coordinating regulatory filings, preparing legal drafts, and ensuring smooth administrative and compliance operations.
Key Responsibilities
Executive & Administrative Support
- Provide high-level executive assistance to senior management, including calendar management, meeting coordination, and preparation of agendas and minutes.
- Handle confidential documents, correspondence, and communication with discretion and professionalism.
- Coordinate internal and external meetings, travel arrangements, and stakeholder communications.
Legal & Corporate Support
- Assist in the setup and administration of private funds, including preparation of documentation, regulatory submissions, and coordination with service providers.
- Support corporate structuring activities, including incorporation, amendments, resolutions, and maintenance of statutory records.
- Draft, review, and organize legal documents such as NDAs, board resolutions, shareholder documents, service agreements, and compliance forms.
- Maintain corporate registers, KYC files, and governance documentation in accordance with UAE regulatory requirements.
Regulatory & Compliance
- Support the preparation and submission of filings with regulators (e.g., DIFC, ADGM, VARA, SCA, Central Bank, DED, Free Zones).
- Assist with compliance monitoring, AML/KYC documentation, and ongoing regulatory obligations for private wealth and fund structures.
- Track regulatory deadlines, license renewals, and reporting requirements to ensure full compliance.
Fund & Private Wealth Support
- Assist with fund formation processes, including liaising with administrators, custodians, and legal advisors.
- Prepare documentation for onboarding, subscription agreements, and compliance checks.
- Support the legal team.
Requirements
- Minimum 2 years of legal secretary experience in private wealth, fund structuring, corporate services, or financial regulatory environments.
- Strong understanding of fund setup, corporate structuring, and UAE regulatory frameworks.
- Excellent drafting, organizational, and document‑management skills.
- Ability to handle confidential information with discretion.
- Strong communication skills and ability to coordinate with senior stakeholders.
- Proficiency in MS Office and legal document management systems.
Pay: AED7,000.00 - AED10,000.00 per month
