Executive Assistant - Marketing

We are seeking a dynamic and highly organized Executive Assistant specializing in Marketing to join our team. Duties

  • Provide comprehensive executive administrative support to marketing leadership, including calendar management using tools like Microsoft Outlook Calendar and Google Workspace.
  • Coordinate and assist with planning marketing events, meetings, and campaigns, ensuring all logistics are handled efficiently.
  • Manage correspondence via multi-line phone systems, email, and other communication channels with professionalism and excellent phone etiquette.
  • Oversee office management tasks such as filing, data entry, document proofreading, transcription, and maintaining organized records.
  • Support bookkeeping and invoicing activities using QuickBooks or similar accounting software; handle basic bookkeeping duties and expense tracking.
  • Facilitate project coordination by tracking deadlines, preparing reports, and ensuring timely completion of marketing initiatives.
  • Assist with personal assistant responsibilities as needed, including travel arrangements, appointment scheduling, and other clerical duties to support executive productivity.

Qualifications

  • Proven experience in office management, administrative support, or as a personal assistant within a professional environment.
  • Strong organizational skills with the ability to multitask efficiently in a fast-paced setting.
  • Excellent computer literacy across Microsoft Office Suite (Word, Excel, PowerPoint), Google Workspace applications, and familiarity with office equipment such as multi-line phone systems.
  • Experience with event planning, project coordination, data entry, filing systems, and clerical tasks.
  • Knowledge of bookkeeping tools like QuickBooks and proficiency in basic bookkeeping practices.
  • Exceptional typing speed combined with transcription and proofreading skills for accurate document preparation.
  • Outstanding customer service skills with professional phone etiquette and the ability to handle sensitive information discreetly.
