Statement of Purpose:
The Executive Assistant to the Marketing, Membership & IT Director is responsible for providing a comprehensive range of high-level executive, administrative, and project support to the Director. This position requires anticipating needs, excellent time management, critical thinking, handling confidential information, solving problems with the highest level of professionalism and confidentiality, and responding with discretion to inquiries from a broad range of individuals under tight deadlines.
Essential Functions and Responsibilities:
· Manage the Director’s schedule to prioritize matters and initiate action to ensure the optimal use of the Director’s time, including screening telephone calls and emails to respond or redirect as appropriate, coordinating travel, etc.
· Ensure the Director is well-informed of upcoming commitments and responsibilities, providing timely follow-ups and acting as a key advisor by maintaining awareness of organizational dynamics and relevant issues.
· Anticipate the Director’s needs before meetings, conferences, presentations, etc. including planning and coordinating meetings, preparing agendas and materials, taking minutes, and follow up on action items, etc.
· Work with the Director on International Convention preparation including Vendor partnerships, arrangement of Charity grant presentations, coordination of printed materials, trophies, hotel arrangements and more.
· Research, collate, and provide background information to the Director to assist them in making informed decisions.
· Establish and implement effective records management to ensure systems are kept up-to-date and records and invoices are tracked efficiently.
· Ensure work priorities are met within agreed and often demanding time frames.
Education & Experience Requirements:
· Bachelor’s degree in marketing, project management, or related field required.
· Minimum 3 years’ related experience supporting senior executives along with an advanced level of computer literacy, knowledge of marketing and project management and experience in maintaining business-to-business relationships.
· Possess strong organizational skills, ability to meet deadlines consistently, good follow-up skills, and attention to detail with high work accuracy.
· Proven verbal and written communications skills, advanced public speaking capabilities and strong interpersonal communication skills and able to work with sensitive and confidential business information.
· Ability to work independently without close supervision but also work collectively with others both internally and externally.
· Possess strong teamwork and collaboration skills: maintaining a positive and proactive approach.
· Ability to assess and respond quickly to problems, multitask on projects and assignments, and be flexible and handle changing priorities and urgent tasks efficiently.

While performing job duties, the employee is not exposed to weather conditions.
Noise level in the work environment is usually moderate to low.
Pay: $55,000.00 - $67,000.00 per year
