Job Description

Yuit Communications is seeking a highly organized, proactive, and detail-oriented Executive Assistant & Office Manager to support agency leadership and maintain a high-functioning, well-coordinated office environment.

This is a hybrid role that combines executive support for the President with day-to-day office operations management. The position plays a critical role in ensuring the agency operates efficiently by protecting leadership time, improving internal coordination, and maintaining a professional and organized workplace.

The Executive Assistant component of this role is designed to increase the President’s effectiveness and capacity to focus on revenue-driving priorities, including client relationships, business development, and strategic growth initiatives.

This position is ideal for someone who thrives in a fast-paced environment, exercises strong judgment, and takes pride in keeping people, processes, and priorities aligned.

Role Overview

The Executive Assistant & Office Manager serves as both:

  • A right-hand operational partner to the President, ensuring time, communication, and priorities are managed effectively
  • A central coordination point for the office, maintaining organization, responsiveness, and a positive team environment

By managing scheduling, communication flow, and administrative coordination, this role enables leadership and team members to focus on delivering high-quality work and driving agency growth.

Primary Responsibilities

Executive Support (President-Focused)

  • Calendar & Time Management
  • Own and manage the President’s calendar, ensuring alignment with key priorities
  • Coordinate internal and external meetings, balancing client needs, leadership time, and strategic focus
  • Proactively identify scheduling conflicts and recommend solutions
  • Communication & Inbox Support
  • Monitor and triage incoming communications, identifying priorities and time-sensitive items
  • Draft and prepare responses for routine communications, scheduling, and coordination
  • Route messages and requests to appropriate team members when applicable
  • Meeting Preparation & Follow-Up
  • Prepare agendas, materials, and context for internal and client meetings
  • Document key takeaways, decisions, and action items
  • Track follow-ups to ensure alignment and accountability
  • Priority & Task Coordination
  • Maintain visibility into key initiatives, deadlines, and leadership priorities
  • Help ensure projects and action items do not stall due to lack of coordination
  • Surface potential risks, bottlenecks, or gaps in communication

Office Management & Team Support

  • Front Office & Daily Operations
  • Manage front desk responsibilities, including greeting visitors and answering phones
  • Maintain a clean, organized, and professional office environment
  • Ensure kitchen, office supplies, and shared spaces are stocked and well-maintained
  • Team Coordination & Support
  • Coordinate internal meetings, schedules, and office logistics
  • Support onboarding logistics for new hires, including workspace setup and materials
  • Assist with internal communication and coordination across teams
  • Events & Culture
  • Plan and coordinate team events, celebrations, and office gatherings
  • Support initiatives that contribute to a positive and collaborative team environment

Administrative & Operational Support

  • Scheduling & Coordination
  • Support scheduling for internal planning sessions, leadership meetings, and client-related logistics
  • Assist with travel coordination, reservations, and logistics as needed
  • Documentation & Organization
  • Maintain organized records, documents, and internal materials
  • Assist with the preparation of presentations, reports, and internal communications
  • Vendor & Office Coordination
  • Coordinate with vendors, service providers, and office-related partners
  • Manage office-related expenses and administrative needs

Qualifications

  • 3+ years of experience in an executive assistant, office manager, administrative, or coordination role
  • Strong organizational and time-management skills with exceptional attention to detail
  • Ability to manage multiple priorities while maintaining professionalism and accuracy
  • Strong written and verbal communication skills
  • High level of discretion and ability to handle sensitive information appropriately
  • Proficiency with email, calendar management, and office productivity tools
  • Experience in fast-paced, high-responsibility environments is strongly preferred

Additional requirements:

  • Valid U.S. driver’s license and valid vehicle insurance.

Compensation & Benefits

Compensation: $50,000–$60,000 DOE + up to 10% annual performance bonus
