Position Overview


We are seeking a highly organized, business-minded Executive Assistant & Office Manager,

Brands & Ventures to support senior leadership while owning day-to-day office operations for

our New York office.


This role supports the President, Brands & Ventures and sits at the center of brand development, partnerships, content, licensing, investments, and special initiatives. It is ideal for someone with 2-3+ years of experience supporting senior executives who is ready to take full responsibility for office operations while continuing to operate as a trusted extension of executive leadership.


The role combines high-level executive support, business coordination, and end-to-end office

management. Success requires strong judgment, operational discipline, discretion, and the ability to manage multiple work streams without hand-holding in a fast-paced environment.


This is a full-time, hybrid role based in New York, NY, with required in-person collaboration

several days per week.


Key Responsibilities


Executive & Brands Support (75%)


  • Manage complex executive calendars, scheduling, meetings, and travel with an

understanding of business priorities, deal timelines, and cross-functional dependencies.

  • Maintain daily priorities and follow-up workflows, anticipating needs and proactively

flagging conflicts or risks.

  • Prepare meeting agendas, briefing materials, and presentations; attend meetings as

needed to capture notes, decisions, and action items.

  • Act as a point of coordination between the President, internal teams within global

organization, and external partners across brand development, content, fashion, lifestyle,

investments, and nonprofit initiatives.

  • Draft, review, and manage internal and external correspondence on behalf of the

executive as directed.

  • Handle sensitive information with a high degree of discretion and professionalism.
  • Leverage productivity and AI tools such as ChatGPT, Gemini, and Notion to streamline

workflows and improve output quality.

  • Identify opportunities to improve operational efficiency through better systems,

documentation, and tools.

  • Support the executive office with organized, accurate, and well-structured digital

materials.

  • Submit and track executive-related expense reports monthly; process invoices in

coordination with Accounting.


Office Management & Workplace Operations (25%)


  • Own full responsibility for office operations for the New York office, ensuring a

professional, organized, and efficient workplace.

  • Serve as the primary point of contact for visitors, partners, vendors, and building

management.

  • Manage front-of-office operations including conference room scheduling and meeting

coordination (in-person and virtual).

  • Own relationships with building management and service providers; proactively manage

maintenance, repairs, and facilities issues.

  • Oversee ordering, inventory, and organization of office supplies, snacks, and shared

resources.

  • Manage mail, shipping, and package logistics.
  • Submit and track office-related expense reports; process invoices in coordination with

Accounting.

  • Program and issue key cards; manage office access and onboarding logistics for new

hires.

  • Plan and execute internal office events and initiatives that support culture and

collaboration.

  • Maintain office-related documentation, trackers, and internal records.
  • Handle confidential information with discretion and professionalism.


Qualifications

  • 2-3+ years of experience supporting senior executives and/or managing office operations in a fast-paced environment.
  • Strong interest in brands, ventures, and business execution.
  • Proven ability to manage competing priorities with accuracy, discretion, and composure.
  • Excellent written and verbal communication skills.
  • Strong organizational, project management, and problem-solving skills.
  • High level of professionalism and sound judgment.
  • Proficiency in Google Workspace, Microsoft Office, Apple iOS, and productivity tools.
  • Fast learner with a strong interest in adopting new technology and AI tools to optimize work efficiency.


It’s a bonus if you have

  • Academic Background: Degree in Business Administration, Music Business, or a related field.
  • Proactive Mindset: Ability to anticipate executive needs and resolve operational bottlenecks independently.
  • Industry Insight: Solid understanding of the global music business ecosystem and commercial trends.
  • Fluent proficiency in Korean (both written and verbal).

Salary Range


The salary range for this job is $90,000 to $100,000. This is a good faith effort at the time of posting. This range is base salary only and does not include benefits and any other compensatory components of the role.
