Vitelli Industrial is a rapidly growing energy and industrial supply company, and we are looking for a highly driven Executive Assistant
to support our leadership team and oversee daily office operations. This person will play a key role in
coordinating business functions, supporting financial processes, managing events, handling travel, and providing executive-level support
to keep our organization running smoothly.

Responsibilities

Oversee and coordinate
day-to-day office operations
-
Provide direct executive support
including scheduling, correspondence, and document preparation
-
Support
financial processes
such as invoices, expenses, and reporting
-
Manage
expense accounts
and prepare updates for leadership
-
Coordinate
travel arrangements
and itineraries
-
Perform
data entry and research projects
(including
some take-home assignments
to be completed within set deadlines)
-
Maintain organized
digital and physical filing systems
-
Assist leadership with office management and event planning
(internal and external)
-
Attend leadership and client
meetings to capture information that helps coordinate business operations
for the core team

Use
Excel
for reporting, data tracking, and analysis
-
Coordinate emails and calendars through
Outlook and Microsoft Teams
-
Leverage tools like ChatGPT and modern AI technology
to improve efficiency and streamline workflows
-
Be available to
answer emails and phone calls from 7–9am
remotely, then begin
in-office work at 9am
-
Ability to work remotely from 3–5pm
as needed to accommodate school schedules

Optional:
Learn sales processes
and have the opportunity to earn commissions, provided it does not take away from core responsibilities
Qualifications
-
2+ years of experience in
executive support, office management, or administrative coordination
preferred, but not required
-
Strong knowledge of
Excel, Outlook, QuickBooks, and Microsoft Teams
(or ability to learn quickly)

Ability to coordinate financial and operational processes
