Executive Assistant (On-Site)

Position Summary

We are seeking a highly intelligent, motivated, and detail-oriented Executive Assistant to work directly with the Co-CEO and support day-to-day business operations across multiple functions.

This is not a traditional administrative role. The individual in this position will serve as an on-site extension of executive leadership—helping to drive execution, manage priorities, and ensure that critical initiatives move forward efficiently.

The ideal candidate is early in their career but demonstrates strong problem-solving ability, high ownership, and a willingness to take on responsibility well beyond their experience level. This role is designed for someone who wants to learn how a business operates from the inside and grow into a larger leadership or operational role over time.

Key Responsibilities

Executive & Operational Support

  • Work directly with the Co-CEO to manage priorities, communications, and ongoing initiatives
  • Draft emails, proposals, and internal/external communications on behalf of leadership
  • Track and help drive execution on key projects and action items
  • Act as a point of coordination across teams to ensure follow-through and accountability
  • Handle sensitive and confidential information with discretion

Office & Administrative Operations

  • Support daily office operations and ensure a high-functioning, organized work environment
  • Manage scheduling, documentation, and general administrative workflows
  • Identify inefficiencies and proactively implement process improvements

Light Accounting & Financial Administration

  • Assist with invoicing, expense tracking, and basic bookkeeping (QuickBooks)
  • Support account reconciliations and financial recordkeeping
  • Coordinate with external accounting resources as needed over time

HR & Recruiting Support

  • Assist with sourcing candidates, scheduling interviews, and coordinating hiring processes
  • Support onboarding and employee documentation
  • Help maintain and update job descriptions and internal processes

What We’re Looking For

We are less focused on years of experience and more focused on how you think and operate.

  • Strong problem-solving ability and intellectual curiosity
  • High level of organization and attention to detail
  • Ability to manage multiple priorities and adapt quickly
  • Excellent written and verbal communication skills
  • Comfortable working in a fast-paced, evolving environment
  • Self-motivated with a strong sense of ownership and accountability
  • Able to handle ambiguity and figure things out without constant direction

Preferred (But Not Required)

  • Bachelor’s degree
  • Exposure to business operations, accounting, or administrative work
  • Familiarity with Microsoft Office (Excel, Word, Outlook)
  • Experience with QuickBooks or similar tools

Work Environment

  • This is a fully on-site role (no remote or hybrid options)
  • Fast-paced, hands-on environment with direct exposure to executive decision-making
  • Opportunity to take on increasing responsibility over time

Compensation & Benefits

  • Base salary: $40,000 – $65,000
  • Health, dental, and vision insurance
  • 401(k)
  • Paid time off

Growth Opportunity

This role is designed as a long-term growth position. Although this position is an entry level position, high-performing individuals will have the opportunity to expand into roles such as Operations Manager or Chief of Staff over time.

Final Note

This position is best suited for individuals who are naturally driven, take initiative, and are willing to go beyond what is asked. You will be given significant exposure to how a business operates—and with that comes responsibility.

Pay: $40,000.00 - $65,000.00 per year
