Overview

We are seeking a highly organized, proactive Executive Assistant specializing in Operations and Events to support leadership across a fast-growing media, marketing, and talent platform. This is a hands-on role for someone who thrives in a dynamic environment and enjoys wearing multiple hats—from calendar management and meeting coordination to event planning and administrative support.

The ideal candidate is energetic, detail-oriented, and comfortable managing both logistical tasks and creative projects. You will help coordinate events, support marketing and publication initiatives, and assist with operational management of platforms such as Renova Models. This role may also include travel opportunities to industry events and projects.

Responsibilities

Executive & Administrative Support

  • Manage executive calendars, coordinate meetings, and schedule appointments using tools such as Google Workspace and Microsoft Outlook
  • Organize travel arrangements, itineraries, and event schedules when required
  • Prepare documents, correspondence, and reports with attention to detail
  • Assist with transcription, proofreading, and editing of articles and written content

Event Coordination

  • Assist with planning and coordinating events from concept to execution
  • Research venues, coordinate vendors, and manage event logistics
  • Support event registration, documentation, and post-event follow-up
  • Help manage onsite event setup and coordination when necessary

Operations & Office Management

  • Maintain organized filing systems and assist with data entry and record keeping
  • Assist with basic bookkeeping tasks such as invoicing, expense tracking, and reconciliation
  • Manage office supplies and help maintain efficient day-to-day office operations
  • Handle incoming communications professionally, including phone and email inquiries

Marketing & Platform Support

  • Assist with administrative management of the Renova Models platform
  • Support marketing, advertising, and promotional initiatives
  • Help coordinate projects related to media publications and digital platforms
  • Assist with social media coordination and marketing tasks when needed

Skills & Qualifications

  • Experience in executive assistant, administrative support, or personal assistant roles
  • Strong organizational and time management skills
  • Ability to manage multiple projects in a fast-paced environment
  • Excellent written and verbal communication skills
  • Experience with Microsoft Office, Google Workspace, and general office software
  • Familiarity with bookkeeping software such as QuickBooks is a plus
  • Event planning or coordination experience is preferred
  • Strong attention to detail, particularly with editing and proofreading
  • Comfortable learning new platforms and technology quickly
