Executive Assistant & Operations Manager — Stem Cell Biotech Lab (Startup)

We are a growing biotech company specializing in mesenchymal stem cell (MSC) research, manufacturing, and translational cell therapy product development.
As the founder, I currently wear every hat — running the lab, managing sales, shipping product, hiring, and handling the day-to-day operations that keep a young biotech moving. I'm looking for a sharp, highly organized, hands-on Executive Assistant & Operations Coordinator to take charge of some operational duties for the lab & business.
You'll be the operational backbone of a working laboratory — researching, getting quotes, and ordering lab reagents and supplies, managing inventory & communicating with bench scientist to support their needs, tracking and packing a customers order and the shipment of our stem cell product, and drafting partnership emails. What you'll do:

Lab operations & procurement:
Source and order reagents, cultureware, consumables, gas cylinders (CO₂, LN₂, compressed air/N₂), and general lab supplies. Maintain inventory, manage vendor relationships, and keep us ahead of stockouts.

Shipping & order fulfillment:
Pack customer orders, prepare shipping documentation (including FedEx, dry-ice and temperature-controlled logistics, handle end of day drop offs, and track deliveries through to confirmation.

Sales support:
Respond to customer inquiries, prepare and send quotes/invoices, follow up on outstanding orders, manage the CRM, and help convert leads.

Partnerships:
Reach out to new potential academic research & business partners.

Facilities & general lab support:
Keep the lab running — checking on equipment, managing waste & biohazard pickups, and owning the general small but vital daily tasks.
What we're looking for

2+ years of experience
in an executive assistant, office manager, operations coordinator, or lab manager role — bonus if it was in a biotech, life sciences, medical device, or regulated environment. We will train you on the basics of our lab needs in specific.

Exceptional organization
and follow-through. You love clean organized lists, you check them off, and nothing slips. You invest in getting the right supplies and tools to stay organized. We will support you to get anything needed to be as organized as possible.

Strong communication.
You'll be the voice the customer hears and the supplier sees, so great with emails.

Skilled with AI:
You are as good as your ability to use AI. Likely 50% of tasks are done with the help of AI - you should already love AI and be very used to using it to draft emails and do research. We also work mainly in cloud with Google Workspace (Docs, Sheets, Slides etc.). We will support you with unlimited AI credits to the best models available.

Willingness to do real, physical work
— lifting boxes, packing shipments, handling gas cylinders, and being on your feet in a lab environment.

Background or coursework in biology, biotechnology, or a related life science field.
The offer

Compensation: $72,0000 / year salary.

$24,000 / year raises for next 2 years.

PTO totalling over 20 days a year. Ability to convert PTO to extra wages.
