Executive Assistant – Operations Support (Multi-Site Oversight)

About the Role

We are seeking a highly organized, dependable, and proactive Executive Assistant – Operations Support to serve as the CEO’s right hand in overseeing a growing network of programs, including 8 Assisted Living Facilities, 1 Homeless Shelter, and 1 Independent Living Facility.

This is a high-trust, high-visibility role responsible for supporting executive coordination while also assisting with multi-site operational oversight, compliance readiness, and performance monitoring.

The ideal candidate will act as the eyes and ears of the CEO, ensuring all locations are operating efficiently, meeting expectations, and aligned with organizational standards.

Key Responsibilities

  • Manage executive calendar, scheduling, and shifting priorities
  • Support day-to-day operations across multiple programs and properties
  • Conduct site visits across locations to monitor operations and report findings
  • Identify operational gaps, concerns, or risks and communicate directly to leadership
  • Represent leadership in meetings and ensure follow-up on action items
  • Assist with audits, compliance preparation, and documentation
  • Coordinate communication between leadership, site staff, and partners
  • Research and gather information for special projects and executive decision-making
  • Track tasks, deadlines, and performance across programs
  • Provide hands-on support to teams when needed to maintain operational standards

Qualifications

  • Strong organizational, communication, and time management skills
  • Ability to manage multiple priorities independently in a fast-paced environment
  • Professional, discreet, and highly reliable
  • Strong problem-solving and critical thinking skills
  • Comfortable supporting leadership and working across multiple teams
  • Valid driver’s license and ability to travel between locations

Technical Skills

  • Microsoft Office (Word, Excel, Outlook)
  • Google Workspace (Docs, Sheets, Drive, Calendar)
  • Ability to quickly learn and adapt to new systems

Preferred Experience

  • Executive or administrative support experience in a fast-paced environment
  • Experience in assisted living, housing programs, shelters, or healthcare settings
  • Familiarity with multi-site operations, compliance, or program coordination
  • Experience with HMIS or similar systems (a plus)

Pay: $56,000.00 - $60,000.00 per year
