Executive Assistant (Part Time, 1 Yr Bookkeeping Experience Req'd)

SMALL BUSINESS OWNER SEEKING PART-TIME ASSISTANT

I’m the owner of Universal Precast Sales Group, and I’m looking for a detail-oriented, proactive Part-Time Executive Assistant to help keep everything organized and moving forward.

Over the past 9 years, I’ve grown my business from a sales role into something much bigger. Now, I have my hands in a wide range of areas—sales, bookkeeping, operations, and general business management. I love what I do, but I’m at the point where I need a right-hand person to help me manage it all.

About Your Boss:
I began my business 8 years ago as a sales rep for a concrete company. Since then, I’ve grown and now find my hands in about a dozen different things. I need more hands! I’m a big proponent of office casual. My work uniform is leggings and a T-shirt, with some dog hair added for flair. With all the computer work I do, I enjoy taking walks during the day. Having my German Shepherd in my home office helps me remember to do this—and if I forget, she’ll remind me. In a final-round interview, you’ll have the chance to meet and speak with my two other office assistants (who work in our Upland office) to ask any questions about my leadership style or work environment. I’m hoping this will be as great a fit for you as it will be for me.

  • Bookkeeping
  • Handle quote creation and client communication on projects
  • Email management
  • Organization, filing, and communications
  • Calendar management
  • Contract review
  • Reading construction plans
  • Lease management
  • Accounts Receivable/Accounts Payable
  • Miscellaneous tasks—as your main responsibility is being my assistant, and my tasks change as my business expands, be ready to learn new things alongside me.

Requirements:

  • Experience with Bookkeeping (any software)
  • Exceptional attention to detail
  • Proficiency in standard office systems: MS Excel, MS Word, Google Drive, Google Calendar, MS Teams, Slack and OneDrive/Outlook
  • Excellent phone etiquette
  • 50+ WPM typing speed
  • Excellent writing skills (spelling, grammar, brevity, etc.) with the ability to craft an eloquent email without the use of AI
  • Excellent communication skills
  • College education would be awesome, but it’s not a deal-breaker
  • Proficiency in AI systems such as ChatGPT (i.e., knowing how to ask questions and direct it to the answer you’re looking for)

Work Environment and Perks:
This role will be based in Riverside, working directly with me. As the role develops, there may also be some flexibility for remote work, but there will likely always be a few days each week working in person with me in Riverside.

Office hours will be more structured during the initial training period with me, but this role offers flexibility for in-office work hours as you gain experience and proficiency.

Pay:
This part-time job will begin at $25/hour and is a W-2 employee position. Please be aware that this position does not offer health benefits or paid time off.

Hours:
This position will begin at approximately 10-15 hours per week. Your schedule will be determined between the two of us, with training hours taking place Monday through Friday between 9:00 AM and 4:00 PM. As you become more established in the role, additional hours may become available, with the potential to increase up to 30 hours per week after approximately 6 months, if desired (not required). Once fully trained, there may also be opportunities for increased flexibility, including limited remote work and the option to complete some hours during evenings or weekends, depending on your preference.
