Job Overview
We are seeking a highly organized and proactive Executive Assistant/ Personal Assistant to provide comprehensive support to a high profile family. The ideal candidate will possess strong administrative skills and have a keen ability to manage multiple tasks efficiently. This role requires a detail-oriented individual who can handle various responsibilities, including planning, coordinating, and managing.
This job is a hybrid position with the need to travel to the confidential Broward and Miami Locations.
Responsibilities
- Manage executive calendars, including scheduling appointments and coordinating meetings.
- Handle all correspondence, including emails and phone calls, with professionalism.
- Organize meetings, including logistics and preparation of necessary materials (Travel arrangements within the budget and preferences of the employer, etc.).
- Assist with personal tasks to streamline the daily life of the high profile family.
- Maintain a high level of confidentiality regarding sensitive information.
- Utilize QuickBooks to post invoices, process payments, and maintain accurate records.
- Handling all other administrative matters as needed, for employer and for its affiliates.
- Set-up any necessary maintenance visits, as needed.
- Coordinating between employer and various outside professionals. (Agents, accountants, attorneys, etc.)
- Responsibility for all accounts receivable, including tracking and following up on all payments for employer and affiliated companies.
- General bookkeeping and expense/payables reporting in coordination with outside accountant of employer and its affiliated companies.
- Maintaining farm operations, logistics and organization (including selling eggs, instructing farm workers as required. Keeping on top of suppliers, paying bills, and taking farm hand to shops.)
- Returning clothes, booking hair and makeup and invoicing.
- Be available to drive 4 times a week. (Subject to change by employer)
- Be available to stay overnight at destined area.
- Handle Vet appointments and transportation for pets.
- Be able to take on Ad Hoc Projects as required.

- Excellent problem-solving skills and the ability to think on your feet.
- Be Tech-Savvy
- Must have clean driving record.
- Must have Car Insurance
- 5 + years of Personal Executive Assistant experience.
Job Type: Full-time
Pay: Up to $60,000.00 per year
