Executive Assistant - PMS 401

We are currently seeking an Office Manager/Chief of Staff to join our team supporting PMS 401 at the Washington Navy Yard. PMS 401 is a high visibility command requiring the utmost in professionalism. This position is on-site at the Washington Navy Yard for the first 90 days, then may transition to hybrid.

What you’ll do:

  • Acquire parking and visitor access at the Pentagon and other travel sites (include a map and GPS address)
  • Arrange executive motor pools
  • Schedule VTCs, GVS, MS Teams and conference rooms to include arranging set up and comms check prior to meetings
  • Arrange and reserve off site conference spaces and ensure all participants have proper accesses
  • Arrange meetings with both internal and external participants
  • Lead a weekly schedule and travel sync, creating travel orders and travel claims
  • Resolve DTS technical issues
  • Maintain personal files, prepare correspondence in accordance with Navy Correspondence Manual
  • Assist PM and DPM to arrive timely to meetings
  • Arrange for VIPs visitor badges, CAC codes and CAC resets
  • Obtain Official passports for foreign visitors
  • Provide telephone coverage and accurate message taking
  • Receive and assist guests
  • Track accounts and accesses
  • Seek ways to improve efficiency and effectiveness if the office
  • Proactively deconflict meetings, seeking guidance as needed for clear priorities
  • Assist with Program Reviews ensuring PAPMS and Leads conduct prep sessions with PM/DPM
  • Other duties as assigned by the Office Manager/Chief of Staff, PM or DPM
  • Attend meetings and provide client support onsite/in person when required
  • Travel domestically and internationally, provide in-person support at MBC and client sites, and obtain and maintain professional certifications and security clearances as required by MBC and/or MBC’s clients. These requirements are subject to change without advance notice at the discretion of MBC and MBC’s clients

Qualifications:
  • ACTIVE Secret Security Clearance required
  • 3-5 years progressive experience as an Executive Assistant, including experience authoring and editing Naval correspondence such as endorsements, memorandums, business letters, and award using the basic naval correspondence formatting
  • Basic knowledge of NAVSEA operations and submarine Sound Navigation and Ranging (SONAR) hardware, software, and interfaces
  • Demonstrated experience supporting NAVSEA and/or other Navy acquisition programs
  • High School Diploma or GED required. Bachelor’s degree desired
  • Ability to professionally collaborate, interface and communicate with programmatic clients and leadership
  • Forward leaning with the desire to complete tasking and anticipate what comes next and/or how to support in a most robust capacity
  • Attention to detail and the ability to conduct quality assurance/quality control on their work as well as others
  • Must enjoy solving/tackling problems, dealing with surprises, and be flexible in their ability to adapt to ever-changing requirements
  • Strong knowledge of Microsoft Outlook, Word, PowerPoint, and Excel. Candidate may be asked to demonstrate skills prior to hiring
  • Exceptional communication skills required both written and verbal
  • Ability to travel domestically and internationally using a credit card or prepaid debit card as required by MBC and/or clients

Compensation Policy: Salary ranges displayed are typical for this position, but MBC considers multiple factors when extending an offer. Factors include the role and associated responsibilities, a candidate's qualifications, and the contractual terms of the program.
