The Opportunity:

Puig is searching for an Executive Assistant to support our President of North America. This person will be a true, right-hand partner who thrives in a fast-paced, high-impact environment. We’re looking for someone who’s proactive, detail-obsessed, and resourceful. You’ll anticipate needs before they arise, tackle challenges with ease, and create space for our North America leader to focus on driving the business.


What you’ll get to do:

Administrative Support:

  • Proactively manage the President’s complex and active calendar, balancing strategic priorities, internal meetings, external engagements, and travel schedules to maximize efficiency and impact
  • Coordinate all aspects of domestic and international travel, including detailed itineraries, visa arrangements, accommodations, ground transportation, and contingency planning
  • Process and reconcile expense reports, monitor invoice submissions, and ensure compliance with financial policies and timely reporting
  • Lead or support cross-functional, ad-hoc projects that align with organizational goals, often involving research, coordination, and execution across departments
  • Anticipate needs and take initiative on operational tasks, ensuring the executive’s day-to-day activities run smoothly and efficiently

Communication:

  • Act as a trusted liaison between the President and internal stakeholders, clients, board members, and external partners, maintaining professionalism and confidentiality at all times
  • Draft, edit, and manage high-level correspondence, ensuring clarity, tone, and alignment with organizational messaging
  • Partner with other Executive Assistants and administrative staff to foster a collaborative support network and maintain consistency across executive operations

Meeting & Event Coordination:

  • Plan and execute high-impact national meetings, retreats, and events- both onsite and offsite- including venue selection, AV setup, catering, guest logistics, and post-event follow-up
  • Prepare comprehensive meeting materials including agendas, briefing documents, and presentations; capture detailed notes and ensure follow-through on action items
  • Support the development and refinement of executive presentations, reports, and strategic documents, often under tight deadlines


We’d love to meet you if you have:

  • 5+ years of Executive Assistant or Administrative experience, supporting senior leadership
  • Proven ability to stay organized and manage time effectively in a fast-paced environment
  • Adaptable and resourceful, able to shift priorities with ease
  • Strong communicator, comfortable engaging with internal and external stakeholders
  • Discreet and trustworthy when handling confidential information
  • Detail-oriented with a commitment to accuracy and follow-through
  • Reliable, punctual, and accountable with a strong sense of ownership
  • Independent problem-solver with sound judgment and a collaborative mindset
  • Proficient in Microsoft Office (Outlook, Word, Excel, PowerPoint) and online research
  • Available to work a hybrid schedule (4 days in office, 1 remote)


Compensation:

As required by New York State’s salary transparency law, effective November 2022, the expected base salary for this position ranges from $100,000.00 - $115,000.00. Various factors are considered when extending offers, such as relevant skillset, training, years of experience related to the current job description, education, and our organizational structure.
