Executive Assistant & Project Coordinator

Executive Personal Assistant & Project Coordinator - Gulf+ Location: STADA Gulf+ (Dubai, UAE) Reporting to: General Manager - Gulf+ Function: General Management / Strategic Operations About the Role

We are seeking a highly capable, business-oriented Executive Personal Assistant & Project Coordinator to support the General Manager of the Gulf+ organization.

This role is designed for a candidate with strong project management capabilities, executive maturity and the ability to operate confidently with Leadership Team (LT) members and senior regional stakeholders. The position requires a combination of strategic coordination, executive communication, presentation development and operational follow-through.

The ideal candidate is not only highly organized, but also able to anticipate needs, manage complex priorities and contribute to the execution of key business initiatives in a dynamic multinational environment.

Key Responsibilities Executive & Leadership Support
  • Act as a trusted coordination partner to the General Manager across strategic and operational priorities.
  • Manage a complex executive calendar, leadership meetings, governance forums, and regional engagements.
  • Coordinate and follow up with Leadership Team members on key deliverables, timelines, and action plans.
  • Support preparation for senior leadership discussions, regional reviews, and business performance meetings.
Project Management & Strategic Coordination
  • Lead coordination and tracking of cross-functional strategic projects across Gulf+ markets.
  • Ensure effective follow-up and execution of critical initiatives with multiple stakeholders.
  • Prepare project timelines, status updates, meeting summaries, and executive action trackers.
  • Drive organizational discipline and governance across leadership priorities.
Executive Presentations & Business Decks
  • Prepare high-quality PowerPoint presentations, business reviews, strategic decks, and executive reports for senior management and regional leadership.
  • Translate complex business inputs into clear, structured, and impactful presentations.
  • Support development of storytelling, key messages, and data visualization for leadership communication.
  • Ensure presentations meet high executive standards in both content and design quality.
Stakeholder & Communication Management
  • Interact confidently with senior internal and external stakeholders across the organization.
  • Draft professional communications, briefing notes, executive summaries, and meeting minutes.
  • Act as a coordination focal point between Gulf+ leadership and regional/global functions.
Operational Excellence
  • Maintain high confidentiality and professionalism in handling sensitive business information.
  • Support organization of local workshops, regional meetings and management events.
  • Ensure smooth daily operations with strong attention to detail and execution excellence.
Qualifications & Experience
  • Bachelor's degree in Business Administration or related field.
  • 3-7 years of experience as Executive Assistant, Personal Assistant, Office Manager, Project Coordinator, or similar role supporting senior leadership.
  • Experience within multinational companies is preferred.
  • Experience working with Leadership Teams and senior stakeholders is essential.
  • Strong exposure to project coordination, executive reporting, and presentation development.
  • Pharmaceutical or healthcare industry exposure is a plus.
  • Strong proficiency in Microsoft Office, especially PowerPoint, Excel, Outlook, and Word.
  • Excellent written and verbal communication skills in English; Arabic is a strong advantage.
