Executive Assistant-Real Estate Operations

About UMe Group

UMe Group is a high-performing real estate team with eXp Realty, led by Team Leader Cody Ramirez. We specialize in traditional and assumption transactions and are growing quickly. We're looking for a sharp, organized, and proactive Operations & Executive Assistant to run the business behind the business — a full-time role blending operational leadership, personal assistance, and marketing. No two days look the same.

Position Details

  • Location: Phoenix, AZ — In-person (5 days a week)
  • Schedule: Full-Time | Monday–Friday (9 am to 5 pm)
  • Reports To: Cody Ramirez, Team Leader
  • Compensation: $60,000–$65,000 base salary (W2), commensurate with experience

Core Responsibilities

Operations & Business Management

  • Serve as the primary operational point of contact — internal problem-solver and first line of defense for anything non-sales
  • Conduct daily meetings with Cody to align on priorities; anticipate needs and come prepared with solutions
  • Create, implement, and maintain systems and processes as the business evolves
  • Support agent onboarding, team infrastructure, and culture; manage eXp agent transitions as needed
  • Reduce operational noise and interruptions for Cody; serve as point of contact for agents, vendors, and partners

Transaction Oversight

  • Oversee all active transactions managed by the team's Transaction Manager (TM)
  • Monitor transaction status via ClickUp and SiSu; escalate issues or delays to Cody as needed
  • Ensure compliance deadlines and brokerage requirements are being met
  • Note: This role does not manage transactions directly — it ensures the TM is performing and stays informed on all active files

Executive & Personal Assistant to Cody

  • Manage Cody's calendar, scheduling, and appointment coordination
  • Handle personal administrative tasks: paying bills, coordinating vendors, managing paperwork
  • Meet vendors at properties, conduct walkthroughs, place and remove lockboxes
  • Coordinate LLC/entity-related tasks and property deeds for investment properties

Investment Property Management

  • Manage day-to-day operations across Cody's six Phoenix-area residential rental properties
  • Handle insurance, HOA communications, vendor coordination, and maintenance
  • Coordinate tenant screening, manage tenant-related issues, and coordinate the listing of properties when vacancies arise

Marketing

  • Manage Cody's Facebook marketing — content creation, scheduling, and monitoring
  • Maintain and send team email marketing via Constant Contact (twice weekly to three lists)
  • Create property marketing images in Canva; coordinate with preferred marketing vendors as needed

Systems & CRM

  • Build and maintain action plans, workflows, and automations in Follow Up Boss (CRM)
  • Update and maintain the assumptions spreadsheet in Google Drive daily
  • Compile and send daily, weekly, and monthly production reports from Follow Up Boss and Sisu
  • Address minor technology and system issues for the team

Team Support

  • Coordinate twice-monthly Elevated Agent Zoom calls and monthly team meetings and events
  • Support agent training related to operations, systems, and logistics

What This Role Is Not

This role does not include sales, lead generation, prospecting, direct recruiting, or sales training — those belong to Cody. It also does not include direct transaction management, which is handled by the Transaction Coordinator.

Required Qualifications

  • Strong organizational and project management skills — you track everything and nothing falls through the cracks
  • Marketing experience — comfortable with social media management, Canva, and email marketing platforms
  • Tech-savvy — quick to learn new platforms; experience with Google Workspace, ClickUp, or similar tools is a plus
  • Clear, assertive, and professional communicator — written and verbal
  • Proactive problem-solver — you bring solutions, not just status updates
  • Discreet and trustworthy — this role handles personal and financial information
  • Comfortable in a fast-paced, ever-changing environment
  • Valid driver's license and reliable transportation — property visits and vendor meetings are required

Preferred Qualifications

  • Real estate experience or familiarity with real estate operations
  • Experience with Follow Up Boss, Sisu, Skyslope, or Constant Contact
  • Experience in a personal assistant or executive assistant role
