We are seeking a highly organized, proactive, and tech-savvy Executive Assistant to support a busy executive. This role is primarily remote, but will require occasional in-person support and travel (approximately 10%) to support in-person meetings, events, and logistics.
As the Executive Assistant, you will be the right hand to the executive—handling a variety of administrative, logistical, and communication-related tasks to ensure their time is optimized and strategic priorities are supported. You will play a vital role in helping the executive stay focused, prepared, and informed.
Key Responsibilities:
- Manage complex calendars, including scheduling meetings across multiple time zones
- Handle travel arrangements, itineraries, and accommodations
- Monitor and prioritize emails, messages, and action items
- Prepare meeting materials, agendas, and take detailed notes
- Assist with project tracking, follow-ups, and deadline management
- Maintain confidentiality and exercise discretion at all times
- Coordinate logistics for occasional in-person events or meetings
- Travel with the executive as needed to support on-site meetings, conferences, or events (approx. 10% of time)
- Perform miscellaneous administrative tasks as requested
Qualifications:
- Excellent written and verbal communication skills
- Proficiency with tools like Microsoft Office, Google Workspace, Zoom, and project/task management tools (e.g., Asana, Trello, or similar)
- Strong attention to detail and ability to manage competing priorities
- Flexible, reliable, and calm under pressure
- Willingness and ability to travel occasionally (up to 10%)
- Experience in a fast-paced, entrepreneurial or startup environment is a plus
