Executive Assistant & Sales Coordinator (Remote)

We are a Dubai-based creative studio operating across interconnected brands in the fields of art, design, interiors, and décor, and creative experiences. We are seeking a highly organized, intelligent, proactive, and trustworthy full-time remote professional to support executive operations, administration, coordination, research, and communication.
This role is ideal for someone who combines strong administrative discipline, excellent communication skills, attention to detail, discretion, and an appreciation for premium creative industries.
Key Responsibilities:
Executive & Administrative Support
- Manage executive and personal email correspondence, calendars, appointments, and scheduling
- Assist with selected personal administrative matters for the CEO, including personal communications, appointments, bookings, and confidential coordination as required
- Organize digital files, documentation, contracts, invoices, quotations, and operational records
- Assist with vendor communication and administrative follow-ups
- Support day-to-day administrative and operational workflows
Business Coordination
- Assist with coordination of deliveries, events, project schedules, and operational timelines
- Support communication between internal and external collaborators including suppliers, accountants, social media teams, website developers, and other partners
- Communicate professional proposals, and presentations to proposed clients.
Client Communication
- Assist in responding to client inquiries and maintaining communication records
- Support preparation of quotations and follow-up communications as directed
- Monitor incoming social media and communication channel messages, engage and escalate inquiries where appropriate
Research & Creative Support
- Data analysis, research, and organized reporting
- Inspiration sourcing, moodboards, and visual references
- Conduct competitor research, pricing comparisons, and online market analysis
- Support preparation of visual presentations using Canva and similar tools
Requirements
- Minimum 2+ years of relevant experience in executive assistance, administration, operations support, coordination, or similar roles
- Fluent English (written and spoken) is essential
- Excellent organizational, communication, and multitasking skills
- Strong attention to detail and professional communication etiquette
- Proficiency in: - Microsoft Office - Google Workspace - Excel - Canva - Zoho (strongly preferred) - Adobe Creative Suite or graphic design capabilities are a major plus
- Strong research and internet investigation skills
- Comfortable working independently in a fast-paced remote environment
- Reliable high-speed internet connection
- Own laptop/computer and a professional remote working setup

Pay: E£8,000.00 - E£16,000.00 per month
