Position Summary
We are seeking a highly organized and proactive Executive Assistant to provide dedicated support to an executive who oversees the Sales and Marketing departments. This role is primarily responsible for executive-level administrative coordination, enabling leadership to effectively manage and drive both sales and marketing initiatives.
In addition to executive support, this role serves as the liaison between the company and external digital marketing partners, ensuring marketing initiatives are properly communicated, coordinated, and executed. The position also includes occasional content support and assistance with outreach and sales-related activities.
This position is best suited for someone who is highly organized, communication-driven, and comfortable working across executive leadership, internal sales and marketing teams, and external partners.
Key Responsibilities
Executive Support & Coordination
- Provide dedicated administrative support to an executive overseeing Sales and Marketing, serving as a trusted point of coordination for both departments
- Manage executive calendars, scheduling, and meeting coordination — including sales calls, marketing reviews, and cross-departmental meetings
- Coordinate travel arrangements, logistics, and itineraries for sales- and marketing-related engagements
- Prepare meeting agendas, notes, and supporting materials for sales and marketing reviews, client meetings, and internal leadership sessions
- Provide task tracking, reminders, and follow-up support to ensure sales and marketing priorities stay on schedule
- Assist with day-to-day administrative needs, serving as a reliable extension of leadership across both departments
Digital Marketing Liaison & Coordination
- Serve as the primary liaison between the company and external digital marketing agencies or contractors
- Coordinate marketing deliverables, timelines, and approvals between internal leadership and external partners
- Ensure clear communication of priorities, updates, and feedback across marketing stakeholders
- Track ongoing marketing initiatives and ensure execution aligns with the executive’s strategic direction
- Support consistency and organization across all external marketing efforts
Sales & Marketing Outreach Support
- Assist with coordination of outreach initiatives such as events, trade shows, and Lunch & Learns that support the sales pipeline
- Support scheduling and logistics for marketing-related travel or external sales and client engagements
- Support website updates or content changes as directed by leadership
Content Support (Occasional)
- Assist with occasional filming of short-form video content with leadership using mobile tools
- Support basic editing or posting of content when needed
- Coordinate content capture with marketing initiatives when applicable
- Ensure media files are organized and stored in shared company systems
Key Objectives of the Role

Qualifications
- Strong organizational and communication skills
- Experience in an executive assistant role, preferably supporting sales or marketing leadership
- Familiarity with sales and marketing workflows, terminology, or environments
- Comfortable communicating with external vendors or agencies
- Basic familiarity with social media content creation
- Ability to manage multiple priorities and follow through consistently
- Detail-oriented with strong reliability and responsiveness
