Today, we are recruiting for a Executive Assistant to the Country Management to join our team in UAE. This is an excellent career opportunity for professionals looking to join a truly international team in one of the biggest projects of Siemens Mobility.

What are my responsibilities?

• You will manage daily office operations and administrative tasks, ensuring smooth country management support.
• You will handle confidential correspondence, documentation, and communications with professionalism and discretion.
• You will maintain paper and electronic filing systems to guarantee efficient information flow.
• You will schedule and coordinate appointments, meetings, and events across teams and stakeholders.
• You will prepare agendas, take minutes, and follow up on action items to ensure completion.
• You will liaise with internal and external stakeholders to facilitate timely and effective communication.
• You will organize complex travel arrangements, including flights, accommodations, and detailed itineraries.
• You will prepare and reconcile travel and expense reports, ensuring compliance with company policies.
• You will assist in preparing presentations, reports, charts, and executive briefings for leadership.
• You will support budget preparation and analyze monthly activity to inform management decisions.
• Technology & Systems Integration
• You will assist in integrating and adopting new office technologies and systems for executive teams.
• You will ensure smooth onboarding and usage of digital tools and platforms for daily operations.

What do I need to qualify for this job?

• You hold a bachelor’s degree or equivalent education that demonstrates strong analytical and organizational abilities.
• You have 5+ years of experience as an Executive Assistant supporting senior leadership in a matrixed or multinational environment.
• You bring a strategic mindset with exceptional attention to detail and a strong sense of ownership.
• You possess excellent written and verbal communication skills in English, ensuring clear and professional correspondence.
• You demonstrate strong French communication abilities, in writing and speech, regarded as an added advantage.
• You are proficient in Microsoft Office Suite—including Word, Excel, PowerPoint, and Outlook—for efficient daily operations.
• You handle sensitive and confidential information with the highest level of discretion and personal integrity.
