Luxury Residential Interior Design Studio | Mountain View, CA | Salaried, Full Time, In-Office
Supporting the studio in Mountain View, CA, with standard operating hours of 8:00 AM – 5:00 PM PST, with flexibility as needed to support business priorities.
The Opportunity
Spectrum Interior Design is seeking a highly capable Executive Assistant & Studio Manager to serve as a trusted extension of the Principal, ensuring both her day-to-day operations and the studio environment are supported with precision, care, and discretion.
This role is grounded in presence, awareness, and follow-through. You will operate at the center of the business—managing details, anticipating needs, and creating structure—so that the Principal and team can focus on high-impact work.
The core purpose of this role is to create clarity, consistency, and calm across the Principal’s day and the physical studio environment.
The Role
As Executive Assistant & Studio Manager, you are responsible for managing the Principal’s schedule, communications, and administrative needs while ensuring the studio operates in an organized, polished, and highly functional manner.
You bring a high level of discretion, strong judgment, and a natural sense of ownership. You are detail-oriented without losing sight of the bigger picture and are equally comfortable handling logistics, communication, and environment management.
This is a highly visible, in-person role requiring professionalism, composure, and a service-oriented mindset.
Key Responsibilities
Executive Support & Calendar Management
· Manage the Principal’s calendar with precision, ensuring alignment with priorities and protecting time
· Coordinate meetings, appointments, and travel with thoughtful planning and attention to detail
· Manage a highly complex and fast-moving calendar, exercising strong judgment around prioritization, scheduling flow, and competing demands
· Track and manage the Principal’s time with exceptional precision, down to the quarter hour, ensuring schedules remain organized, intentional, and aligned with business priorities
· Prepare the Principal for meetings with relevant context, materials, and follow-up
· Manage inbox communication, drafting and responding with clarity and professionalism as appropriate
Administrative Coordination & Follow-Through
· Track action items, priorities, and commitments to ensure consistent execution
· Assist with document preparation, contracts, and internal communications
· Maintain organized digital and physical records across the business
· Support light personal administrative tasks as needed with discretion
Office & Studio Management
· Oversee the day-to-day functioning of the studio environment
· Coordinate vendors, supplies, and maintenance to ensure a seamless, elevated workspace
· Maintain a clean, organized, and thoughtfully run office that reflects the studio’s standards
· Welcome guests, clients, and partners with professionalism and warmth
Team & Operational Support
· Support scheduling coordination across the team as needed
· Assist with onboarding logistics, office systems, and internal organization
· Serve as a point of coordination for internal needs, ensuring the team is supported and aligned
· Help maintain rhythm, structure, and organization across daily operations

· Communication is clear, timely, and handled with professionalism and discretion
· The office environment runs seamlessly and reflects a high standard of care
· Details are anticipated and handled before they become issues

Required Experience & Skills
· 5–8+ years of experience in an executive assistant, office manager, or similar role
· Experience supporting a founder, principal, or executive in a high-standard environment
· Exceptional organizational skills with strong attention to detail
· Excellent written and verbal communication with a polished, professional presence
· Proven ability to manage multiple priorities with consistency and follow-through
· High level of discretion, judgment, and emotional intelligence
· Proficiency in Microsoft Office
Preferred (Nice to Have)
· Experience in a luxury, design, or high-end client service environment
· Familiarity with project management tools such as Asana
· Experience supporting both professional and light personal executive needs
· Strong systems mindset with the ability to improve organization and workflows
Compensation & Benefits
Compensation is commensurate with experience
Spectrum Interior Design offers a comprehensive benefits package for full-time employees including 401k, Health Insurance and additional Voluntary Benefits such as dental, vision, short-term and long-term disability, life insurance, and accident insurance. PTO plus paid holidays are an additional benefit.
Pay: $90,000.00 - $120,000.00 per year
